About The Position

This role is responsible for processing transcript requests and student registration, verifying degree and enrollment certifications, and handling various student record updates. The specialist will also manage document scanning, maintain student advisor lists, update curriculum information in the system, and ensure the accuracy of student campus codes. Additionally, the position involves researching and resolving student registration issues, managing office tasks such as mail handling and supply ordering, and providing work direction to student employees. Maintaining professional communication, ethical conduct, and confidentiality are key aspects of this role, along with participating in professional development and performing other assigned duties.

Requirements

  • Proficiency in processing transcript requests and student registration.
  • Ability to verify degree and enrollment certifications.
  • Experience processing requests from various government entities, staff, faculty, and the university community.
  • Skill in managing student record updates (address/phone changes, name changes, withdrawals, book opt-outs).
  • Experience with document scanning and maintaining student records.
  • Ability to maintain and update student advisor lists and curriculum information in a system.
  • Data pulling and analysis skills for updating student majors.
  • Communication skills for liaising with Department Administrative Assistants and Advisors.
  • Attention to detail for ensuring accuracy of student campus codes.
  • Problem-solving skills for researching and resolving student registration issues.
  • Organizational skills for mail handling, supply ordering, and file maintenance.

Responsibilities

  • Processes transcript requests and student registration.
  • Verifies degree and enrollment certifications.
  • Processes requests from federal, state, and local governments, staff, faculty, and the University community.
  • Processes student change of addresses/telephone, name changes, Complete Withdrawals, and Opt. out for books.
  • Scans documents to student records.
  • Maintains Student Advisor List.
  • Updates curriculum in the system (Major, Minor, Concentration, Advisor).
  • Pulls data to ensure current student body has updated majors as needed (programming).
  • Maintains contact with Department Administrative Assistants and Advisors regarding Declaration of Major.
  • Ensures student campus codes are accurate.
  • Researches student registration and status problems, identifies source of error and enters system overrides for university caused errors.
  • Opens and routes mail, orders supplies, processes purchase requisitions, maintains files in proper order.
  • Provides oversight and day-to-day work direction (as assigned by the Assistant Registrar) to assigned student employees.
  • Assists with training and ensures assigned tasks are completed accurately and timely.
  • Maintains professional communication and models ethical conduct and confidentiality in alignment with WNMU standards.
  • Participates in ongoing professional development.
  • Performs other duties as assigned.
