About The Position

Trinity Episcopal School is seeking a Registrar responsible for the compilation and entry of all student and applicant data, as well as other record-keeping activities. Included in these responsibilities is maintaining and ensuring the integrity, accuracy, and confidentiality of these records in compliance with all applicable regulations. This role is a part-time, non-exempt 12-month position reporting directly to the Director of Admission and Financial Support. The Registrar manages FACTS Management, the school's student information system. In addition, the Registrar is responsible for producing report cards, transcripts, schedules, and any reports relating to student and applicant data. The Registrar also supports the Admission Office by co-managing event logistics, producing reports, and managing all online admission forms including enrollment contracts and enrollment management support. The Registrar supports the work of the School by promoting the mission, values, and policies of Trinity Episcopal School.

Requirements

  • Bachelor’s degree from an accredited college or university.
  • Comfort and proficiency with data synthesis and analysis
  • Proficiency with Microsoft Word, Excel, Google applications, and database management
  • Must maintain a high level of confidentiality
  • Excellent written, oral and interpersonal skills
  • Integrity, sound judgment, self-confidence, maturity and a sense of perspective
  • Demonstrates initiative, adaptability, and the ability to work independently to solve problems
  • A high level of energy and ability to work on multiple tasks/projects
  • Strong computer and social media skills.

Responsibilities

  • Manage and maintain FACTS Student Information System, Admissions & Enrollment, and FACTS Family Portal
  • Maintain FACTS SIS to ensure data is updated and shared with Advancement and Business Offices as needed
  • Maintain physical and electronic records including interim/trimester report cards, transcripts, standardized testing, admission materials, enrollment contracts, student schedules, and class rosters
  • Publish all interim and trimester report cards online and share a PDF of the reports with each homeroom teacher
  • Manage transcript requests for graduating students; remind teachers of upcoming teacher recommendation deadlines and process transcript requests
  • Support faculty with use of FACTS online gradebooks and preparing report cards to be published electronically
  • Create student schedules and update the master schedule as needed
  • Create and maintain K-8 contact lists and Google classroom distribution lists
  • Process all applications and enrollment contracts through FACTS Admissions & Enrollment
  • Process new student records within FACTS; request final transcripts from previous school(s), communicate with various departments to ensure new student information is shared as needed
  • Process withdrawn students; forward transcripts and records to other schools and update student information in the appropriate databases/systems
  • Generate scheduled and ad hoc reports in support of the Senior Leadership Team
  • Create nametags for admission events and track inventory of admission materials/swag
  • Create mailing labels for school-wide mailings
  • Maintain and update procedures manual for job responsibilities
  • Communicate in a timely manner with colleagues across all departments to ensure pertinent information is shared effectively
