The Registrar is responsible for engaging in positive interactions, providing friendly and helpful assistance to patients, visitors, and customers. This role involves anticipating and responding to needs, staying calm under pressure, and effectively dealing with difficult situations. The Registrar participates in team building, continuous quality improvement, and educational activities to support departmental initiatives. They also provide training to new team members. Key duties include arriving patients to the ER and Urgent Care, signing in or checking in hospital outpatient visits, identifying patients in need of immediate care, and prioritizing registration by complaint severity. The Registrar monitors the waiting area for changing patient conditions and alerts the triage RN. They admit surgical and direct admit patients, schedule and check in hospital outpatient lab patients, and ensure correct electronic medical records are identified and selected to prevent errors. The role involves entering patient complaints/symptoms, completing required arrival information in the electronic medical record, generating patient armbands, face sheets, and labels, and verifying information during chaotic situations. Gathering and entering demographic, guarantor, and billing information, obtaining necessary signatures, verifying insurance, and completing MSPQ for Medicare patients are also core functions. The Registrar collects co-pays and payments, assists with patient coordination into appropriate units, provides accurate information and updates, and assists other departments and outside EMS/EMT agencies. Pre-admission and pre-registration functions are performed, and patients are provided with admission information like the VIP Folder. They secure and return patient valuables, assist hospital staff during EPIC downtime or disaster mode, and provide transportation vouchers and payments. Maintaining an accurate cash drawer, closing and balancing it at the end of each shift, and managing work queues to resolve registration errors are essential. The Registrar assesses the need for interpreters, handles telephone inquiries, monitors security cameras and door entry systems, addresses questions or concerns promptly, and uses service recovery skills. Flexibility, reliability, efficient schedule management, and a professional demeanor are expected. Completing travel screening questionnaires, tracking visitors, providing directions, and demonstrating teamwork are also part of the role. The Registrar communicates appropriately with the leadership team, charge nurse, physicians, and partners, uses good judgment to report unusual occurrences, and utilizes organizational and departmental resources efficiently. They follow healthcare regulations, perform light cleaning, and complete assigned educational courses. Alternate shifts, weekends, and overtime may be required.
