About The Position

SMS Equipment is seeking a Regional Service Coordinator for a temporary, full-time parental leave coverage term of approximately 24 months. The Regional Service Coordinator supports a dedicated group of branches with tasks related to work orders, reporting, and other administrative support and duties.

Requirements

  • Prior administrative experience
  • High School diploma and/or an Office Administration Certificate
  • Good to excellent computer skills (i.e. word processing, spreadsheets, e-mail, and internal department electronic systems) to access and update electronic records.
  • Team-oriented and able to collaborate while also working independently.
  • High attention to detail and ability to meet deadlines.
  • Ability to multitask and prioritize workload.

Nice To Haves

  • Knowledge of ERP Systems a definite asset.

Responsibilities

  • Organize and file all service order documentation.
  • Maintain accurate billing and invoice rate information for multiple customers.
  • Complete assigned monthly checklist items prior to deadline.
  • Review work order requests for required information, including PO and sublet information, ensuring proper documentation and supports are attached.
  • Create work order, prepare folder and required documentation and inform personnel of work order number.
  • Collect appropriate data, information and documentation through communication with the customer, field supervisors and branches both inside and outside the Remote mining group.
  • Review sublet invoices to ensure they are legitimate customer charges and ensure any customer purchase orders are sufficient for billing.
  • Communicate sales invoice value to stakeholders and obtain necessary approvals for closing/costing.
  • Review physical work order for inclusion and completeness of appropriate documentation and report any deficiencies.
  • Open, track and maintain warranty work orders.
  • Assist in preparing and submitting warranty claims to OEMs ensuring necessary documentation is complete and accurate.
