About The Position

ENT and Allergy Associates of Texas, LLC and Hümi is seeking a full-time Regional Operations Manager for our Texas office's. The overall purpose of this position is to assist the Chief Operating Officer (COO) and Director of Operations with the daily operations of the practice within each site and assigned region. This role involves extensive training, onboarding, site setup, project management, and operational support across multiple locations.

Responsibilities

  • Assist the Chief Operating Officer (COO) and Director of Operations with the daily operations of the practice within each site and assigned region.
  • Train new office staff on the computer system (NextGen) and company policies and procedures, including customer service, referral processes, demographic entry, and cash controls.
  • Visit office locations for specified training and reinforcement training on various procedures.
  • Transition new physicians and practice locations into ENTA, including setting up new locations with necessary supplies and equipment (appointment cards, medical equipment, credit card terminals, phone systems, signage, computers, printers, fax machines, copiers, Tax Id Changes, answering service, etc.).
  • Work closely with the Director of Human Resources and Manager of Human Resources during mergers or acquisitions to onboard new employees and train them.
  • Set up training sessions at the CBO or at office locations.
  • Coordinate with the IT Department on data and computer installs for new locations, and review/report issues with current locations.
  • Assist in all moves and renovation projects, including packing, unpacking, move dates, telephone moves, mail forwarding, ordering equipment, furniture, medical equipment, allergy serum transfers, allergy refrigerators, and audiology booth moves.
  • Follow checklists for moves and physician onboarding.
  • Cover for Practice Site Administrators (PSA) who are on vacation, FMLA, leave, or jury duty, and fill in for Surgical Coordinators or front desk if necessary.
  • Assist with the implementation and training on new software systems, working alongside other departments.
  • Conduct train-the-trainer sessions, retraining, and reeducation as necessary.
  • Manage new projects and beta test implementations with new vendors (e.g., Web Portal, Phreesia).
  • Work closely with the PSA on setup and project plans.
  • Cross-cover territories and be responsible for coverage schedules for locations by region.
  • Ensure all offices are covered by arranging for medical assistant temps or shifting employees, and communicate coverage schedules weekly.
  • Audit PSAs on various policies and procedures.
  • Troubleshoot operational workflow or employee issues for physicians or PSAs and create recommendations for improving conditions.
  • Work closely with the HR department in reviewing open positions in office locations.
  • Visit offices with HR to handle sensitive issues with staff when needed.
  • Respond to patient inquiries submitted to the ENT info mailbox.
  • Complete introductory and annual reviews for assigned PSAs, Medical Assistant or Patient Representative Floaters.
