Serves as the administrative office manager for the corporate office and supervises the Office Coordinator. This position will be housed at the corporate office located in downtown Asheville, NC. In this dynamic role, you will be responsible for: Supervising office activities to achieve maximum expense control and productivity Developing procedures and policies for office activities including: filing, records maintenance, offsite storage, office supplies, office equipment, office vendors, phone support, faxes, and mail distribution Responsible for the maintenance of office equipment and supplies Providing executive assistance to the President of RHA Health Services. Job Responsibilities As an Office Coordinator, you will responsible but not limited to the following: Assists with Office Duties: Ensures corporate office services are working in the most cost effective, efficient and effective manner. Ensuring phone is answered and calls are routed. Ensures office equipment is maintained in good working condition including: fax, copier/scanner, postage, and phone. Orders and organizes office supplies, and assures adequate supplies are kept at all times. Serves as the custodial authority for office storage spaces. Maintains schedule for corporate staff. Assists Executives with Various Tasks: Ensures requests from the President for action and information are furnished in an accurate and timely manner. Follows-up with individuals providing information and documentation, prints information their use in financial reviews, board meetings, MCO meetings and other business meetings. Manages Meeting and Event Planning: Manages office meetings and events. Plans the facility, rooming and refreshments for corporate meetings and special events as directed. Plans and organizes large corporate events. Arranges meetings and teleconferences and coordinates participation as directed. Coordinates schedule for President, and arranges appointments as directed. Coordinates travel and hotel accommodations for Executives as well as incoming guests. Performs Office Manager Responsibilities- Ensures break area and conference rooms are neat and adequate supplies are furnished. Assists with special projects such as: assembling materials, special mailings, meeting preparations, creating presentations, ordering materials, and performing data entry. Assists with various projects for the HR Department Requirements Successful candidates of the Office Assistant role are able to handle multiple responsibilities in a fast paced business office while ensuring operational goals and objectives are met efficiently and effectively. Additional requirements of the Office Assistant role include: BS/BA from four-year college or university preferred. Prefer 1-2 years related experience and/or training; or equivalent combination of education and experience. Experience with computer software for word processing, spreadsheets, and database. Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, and the coordination of people and resources. Requirements

  • BS/BA from four-year college or university preferred.
