You will combine clinical discretion with administrative precision to manage referrals, verify insurance, and coordinate immediate admissions. In this vital role, you will guide individuals onto their path to recovery by managing the intake process from initial referral through admission and insurance verification. This on-site position is based at our Shrewsbury, MA facility under the general supervision of the Admissions Manager, with a Monday-through-Friday schedule.

Requirements

  • Minimum of high school diploma or equivalent, with six (6) months of medical receptionist/office experience in a comparable health care setting required.
  • Must be able to successfully pass a CORI/Background records check.
  • Compliance with Veterans Inc. COVID-19 Vaccination Policy. Religious and Medical Exemptions are considered.

Nice To Haves

  • Minimum of two (2) years of administrative or clerical experience in a clinical or community-based setting is highly preferred.
  • Insurance verification of member benefits/eligibility, intake, and referral process.
  • Demonstrated knowledge of military culture, experience in working with veteran population, and an understanding of veterans-related needs and issues preferred.

Responsibilities

  • Process incoming referrals via phone, fax, email, and online portals.
  • Evaluate files for compliance, identifying and securing missing data from referral sources.
  • Collaborate with clinical, nursing, and admissions staff on placement and admission planning.
  • Maintain admission calendars and schedule new intakes to ensure efficient patient flow.
  • Act as the primary contact for patients, families, and community partners regarding admission status.
  • Work with hospitals, providers, and external agencies to support referral development.
  • Maintain continuous communication regarding waitlist placement, scheduling, and admission decisions.
  • Conduct benefits and eligibility checks for prospective patients.
  • Input referral data accurately into forms, tracking logs, and Electronic Health Records (EHR).
  • Keep referral logs and waitlists updated for accurate follow-up and reporting.
  • Handle all interactions and records with strict confidentiality and diplomacy.
  • Assist with front-desk reception duties and general intake processes as needed.
