About The Position

The Referral Coordinator is responsible for managing patient referrals, ensuring accurate documentation, and serving as a point of contact for patients and specialists. This role requires excellent communication, organizational skills, and the ability to handle sensitive patient information with confidentiality. The coordinator will work closely with healthcare staff to facilitate smooth referral processes and assist patients with various barriers they may encounter.

Requirements

  • High School Diploma or equivalent required.
  • Current Medical Assistant Certification and/or Registration required through an accredited organization (i.e. AMT, AAMA, NHA, etc.).
  • Reliable and punctual attendance is essential.
  • Speaks clearly and persuasively in positive or negative situations.

Responsibilities

  • Assemble information concerning patient's clinical background and referral needs.
  • Provide appropriate clinical information to specialists per referral guidelines.
  • Review details and expectations about the referral with patients.
  • Prioritize referrals by urgency and address them in a timely manner.
  • Maintain ongoing tracking and appropriate documentation on referrals.
  • Participate in the selection, orientation, and training of referral processes.
  • Review details and expectations about the referral with ordering providers and patients.
  • Request new referrals to be ordered when applicable.
  • Ensure complete and accurate registration, including patient demographic and current insurance information.
  • Serve as the point of contact for patients and specialists for any questions or concerns.
  • Assist in problem-solving potential issues related to referrals due to language or social barriers, and transportation.
  • Accurately and truthfully complete patient records for the referral process in a timely manner.
  • Work harmoniously with Physician and Clerical staff to meet patient needs.
  • Assist Medical Office Specialists with check-in/out process.
  • Serve as backup for Medical Office Specialists during vacations, illnesses, lunches, etc.
  • Set up medication cards and provide patient education pertaining to medication cards.
  • Complete daily routine assignments.
  • Manage difficult or emotional customer/patient situations.
  • Respond promptly to inquiries and requests for service and assistance.
  • Meet commitments.
