About The Position

Resolution Think LLC is seeking experienced Referral Clerks to support administrative and patient administration functions in the Referral Management & Utilization Department at Portsmouth Naval Medical Center. This position involves patient registration, check-in/out, appointment scheduling and confirmation, updating patient medical records, and ensuring HIPAA compliance. The role requires utilizing the MHS GENESIS system to manage external medical documentation (Clear and Legible Reports - CLRs) and communicating with external clinical practices to collect necessary patient and service documentation. A daily target of at least 70 CLRs is expected on standard workdays, with 50 CLRs on days focused on collecting external documentation. Responsibilities include communicating with providers about CLRs, reviewing and uploading referral notes (consultation, operative, discharge summaries), chasing external notes from network providers, responding to provider queries, ensuring referral results are returned within required timelines, and utilizing MHS GENESIS for tracking outstanding CLRs.

Requirements

  • High School Diploma or GED
  • A minimum of 12 months of administrative experience working in a medical practice or clinical setting.
  • Knowledge of medical terminology required.
  • Must be able to type at least 50 WPM.
  • Active Basic Life Support (BLS) from either American Heart Association (AHA) or American Red Cross
  • Candidates must be US Citizens
  • Meet outlined federal background and drug screening to secure base access.

Responsibilities

  • Utilize the MHS GENESIS system to retrieve external medical documentation (Clear and Legible Reports - CLRs) and upload results into the patient’s chart.
  • Utilize telecommunications technology to collect external documentation for patients by contacting outside clinical practices.
  • Communicate with providers regarding CLRs if they are incorrect or need additional context.
  • Review referral notes, including consultation, operative, and discharge summaries, and return external documentation to the patient chart.
  • Chase external notes from network providers for patients to upload into the patient chart.
  • Respond to provider queries regarding external provider notes and documentation.
  • Ensure referral results are returned to the referring provider and to the medical record within required timelines.
  • Assist with follow up, written or verbal, as necessary.
  • Utilize the referral tracking data collection tool within MHS GENESIS and discern reporting system to measure the amount of outstanding CLRs.
