About The Position

The Referrals & Diagnostics Supervisor supports the mission of People’s Community Clinic by overseeing and supporting the team of Referral & Diagnostic Coordinators in their daily tasks, ensuring efficient, customer-focused service to patients.

Requirements

  • High school diploma/GED
  • Minimum of two years’ experience working in a healthcare environment
  • Minimum one year of experience working with patient referrals and diagnostics
  • Minimum one-year supervisory experience
  • Excellent customer service skills
  • Ability to multitask in a fast-paced environment
  • Detail-oriented
  • Self-starter with ability to accomplish goals with minimal supervision
  • Able to establish and maintain cordial and professional relationships with people from a variety of backgrounds
  • Bilingual in English and Spanish required.

Responsibilities

  • Manage the Referral & Diagnostic Coordinators, including hiring, training, supervision, and annual performance appraisal.
  • Oversee the development and regular updating of training materials for the team.
  • Monitor daily the referral management and diagnostic report, assessing department volumes, processing delays, workflow issues, and/or indicators for department growth.
  • Ensure workflow processes include a “closed loop” system and that the RDCs follow the timeliness goals of the organization.
  • Serve as backup to team members to avoid backlogs and processing delays.
  • Coordinate patient care by verifying patient insurance and ensuring authorizations and referrals are obtained for appropriate diagnostic exams and specialist visits.
  • Maintain effective communication with patients and relevant clinical staff regarding upcoming diagnostic or specialist appointments and follow up to ensure patients are prepared, appointments are kept, and results are returned to People’s Community Clinic.
  • Maintain electronic health records, ensuring referrals are closed and diagnostic results are entered daily, reports are uploaded to the patient’s chart, and providers are informed.
  • Manage outgoing referral work queue and use reporting systems to track follow-ups and successful outcomes.
  • Perform service recovery with patients/customers/providers as needed in conjunction with Quality & Risk and CCSO.
  • Regularly review and update policies and procedures pertinent to the Referrals & Diagnostics team.
  • Coordinate and lead a monthly department meeting to keep team members informed of relevant updates and changes.
  • Identify opportunities to improve workflow, work processes, and patient care, and work cooperatively to implement these and other quality improvements.
