About The Position

We are seeking a highly organized and proactive Recruitment Coordinator to support our growing talent acquisition efforts. This role is responsible for coordinating the end-to-end recruitment and onboarding process, ensuring an exceptional candidate and new hire experience, and supporting hiring managers throughout the hiring cycle. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and is comfortable managing multiple priorities across different personalities and clinic locations. This role serves as a key liaison between candidates, hiring managers, and the Human Resources team, with opportunities to expand into broader HR functions such as employee relations, payroll support, and health & safety coordination.

Requirements

  • Minimum 2 years of recruitment, talent acquisition, HR coordination, or administrative experience
  • Experience supporting or managing full-cycle recruitment processes
  • Strong organizational and time management skills with ability to manage multiple priorities
  • Excellent interpersonal, written, and verbal communication skills
  • High attention to detail and accuracy
  • Proficiency with Microsoft Office and Google Workspace
  • Ability to work with multiple personalities and adapt communication style accordingly
  • Strong problem-solving skills and ability to work independently in a fast-paced environment

Nice To Haves

  • Experience with onboarding, contracts, reference checks, and/or background screening considered a strong asset
  • Experience using Applicant Tracking Systems (ATS) and HRIS platforms is preferred
  • Diploma or degree in Human Resources, Business Administration, or a related field
  • CHRP designation (completed or in progress) is considered an asset
  • Experience in healthcare, dental, or multi-location organizations is an asset
  • Exposure to employee relations, payroll, or health & safety processes is an asset

Responsibilities

  • Coordinate full-cycle recruitment activities across multiple dental clinics and corporate departments
  • Post and manage job advertisements across various recruitment platforms
  • Source candidates through job boards, professional networks, referrals, and recruitment databases
  • Review and screen resumes against position requirements
  • Conduct initial candidate outreach and pre-screening conversations
  • Schedule interviews and coordinate calendars between candidates and hiring managers
  • Maintain consistent communication with candidates throughout the recruitment process
  • Track candidate progress within the Applicant Tracking System (ATS)
  • Prepare employment offers and draft employment contracts
  • Conduct reference checks and coordinate background screening processes
  • Ensure a positive, professional candidate experience at all stages of recruitment
  • Coordinate full onboarding process for new hires, including documentation and orientation scheduling
  • Prepare onboarding packages, employment agreements, and compliance documentation
  • Ensure completion of all pre-employment requirements prior to start dates
  • Support system setup and new hire integration across departments and clinics
  • Coordinate offboarding processes, including resignation processing, termination documentation, and exit checklists
  • Conduct or coordinate exit interviews where applicable
  • Maintain accurate and up-to-date employee records throughout employment lifecycle
  • Partner with hiring managers to understand staffing needs and position requirements
  • Assist with recruitment marketing initiatives and employer branding efforts
  • Monitor recruitment metrics and prepare hiring reports
  • Support workforce planning and recruitment forecasting activities
  • Maintain talent pipelines for current and future hiring needs
  • Participate in recruitment events, job fairs, and networking initiatives as required
  • Provide support across multiple personality types and stakeholder groups in a professional and adaptable manner
  • Support employee relations processes as needed
  • Assist with payroll-related documentation and coordination
  • Support health & safety administrative requirements and compliance tracking
  • Contribute to HR process improvements and policy updates
  • Gain exposure to multi-functional HR operations within a growing organization
  • Manage recruitment and HR calendars, interviews, and logistics
  • Maintain organized digital HR and recruitment files
  • Support internal communications regarding hiring initiatives
  • Assist with continuous improvement of recruitment and onboarding processes
  • Perform additional administrative duties as assigned
