About The Position

The Michael J. Fox Foundation for Parkinson's Research ("the Foundation") is seeking top talent for its Recruitment Coordinator position. Reporting to the Director of People Operations, this position oversees the recruitment process and ensures an efficient and positive recruiting experience for hiring managers, external recruiters, and candidates. This role is responsible for activities including, but not limited to, guiding managers through the hiring process, managing job postings, scheduling interviews and producing offer letters within the Foundation’s Applicant Tracking System (“ATS”), Greenhouse Recruiting. This position serves as a bridge between the Foundation’s external recruiters and the People Operations team, hiring managers, and internal processes and systems. This is a hybrid-flex position that will require in-person attendance at The Michael J. Fox Foundation’s headquarters in New York City.

Requirements

  • Experience in recruiting coordination, HR operations, or administrative support
  • Experience and knowledge working in an Applicant Tracking System (Greenhouse strongly preferred)
  • Working knowledge of full-cycle recruiting processes and best practices, including recruiting compliance, documentation, and data integrity standards
  • Experience coordinating interviews across multiple stakeholders and teams
  • Familiarity supporting recruiting vendors and external agencies
  • Strong organizational and time management skills with the ability to manage multiple requests simultaneously
  • Detail-oriented with strong follow-through on tasks and processes
  • Customer-service mindset in supporting internal and external stakeholders

Responsibilities

  • Collaborate with hiring managers to identify hiring needs and facilitate the approval process for open positions
  • Schedule and coordinate recruitment kickoff calls between external recruiter and hiring managers
  • Coordinate and schedule candidate interviews across multiple teams within Greenhouse Recruiting, managing calendars and resolving scheduling conflicts efficiently
  • Support managers in creating candidate scorecards within Greenhouse Recruiting and support interviewers on using scorecards within Greenhouse Recruiting
  • Manage recruitment correspondence within the Foundation’s People Operations inbox
  • Collaborate and coordinate with external recruiters, hiring managers and internal stakeholders during the offer process including salary, incentives, start dates, and other pertinent details
  • Create and send offer letters in Greenhouse Recruiting
  • Coordinate preboarding activities and support the onboarding process for new hires and internal transfers by collecting required documentation prior to start dates and facilitating onboarding meetings and orientation activities
  • Verify I-9 documentation and complete Form I-9 via E-Verify
  • Create job requisitions and manage job postings on internal/external sites, including determining and managing frequency of reposts
  • Maintain and update candidate records and job requisitions in Greenhouse Recruiting, ensuring data accuracy and completeness
  • Serve as the point of contact for the Foundation’s Applicant Tracking and Onboarding Systems (Greenhouse), including training new managers, aligning with stakeholders on reporting capabilities, and troubleshooting as needed
  • Update Greenhouse configuration as needed
  • Assist in maintaining employee personnel documents (e.g., offer letters)
  • Maintain and update the Foundation’s internal job description catalog, ensuring changes are tracked appropriately and accurately
  • Maintain and update the Recruiting page on the People & Culture SharePoint site
  • Oversee the Foundation’s internship process, acting as the main point of contact and updating the internship guide as needed
  • Oversee the Foundation’s employee referral program, ensuring timely communication and coordinating referral bonus payouts with internal stakeholders
  • Support internal stakeholders in evaluating new job descriptions within MJFF’s Job Framework
  • Stay up to date on trends in recruitment and provide recommendations for continuous process improvement
  • Manage other HR-related projects as assigned and provide back up support to the People Operations team outside of recruitment as needed
