About The Position

The recruitment Specialist purpose is serving as the primary operational partner to the Talent Attraction Manager. This role executes the day-to-day logistics, candidate screening, and compliance workflows of the recruitment lifecycle. By driving exceptional process efficiency and protecting candidate experience, the Specialist ensures frictionless talent delivery while enabling the Manager to execute high-impact attraction and talent pooling strategies.

Requirements

  • Minimum of 3 to 5 years of dedicated experience in recruitment coordination, agency operations, or HR administration.
  • Bachelor’s Degree or College Diploma in Human Resources, Business Administration, or a related field
  • Highly proficient in utilizing Applicant Tracking Systems (ATS).
  • Highly structured and detail-oriented. Capable of managing multi-stakeholder scheduling, logistics, and process administration with exceptional precision.
  • Exceptional written and verbal communication skills. Capable of communicating with candidates, agency partners, and executive-level leadership with extreme professionalism.
  • An autonomous self-starter with a strong "figure-it-out" mindset, comfortable adjusting workflows and keeping recruitment processes moving smoothly when schedules or priorities shift on short notice.
  • Strong proficiency in Google Workspace (Docs, Sheets, Slides, Gmail).

Nice To Haves

  • Relevant professional certifications (e.g., CHRP, CPHR, SHRM-SCP, or specific talent acquisition certifications) are considered an asset but not mandatory.
  • Direct experience working with SAP SuccessFactors is considered a strong asset.
  • Bilingualism in Spanish would be considered an asset but is not mandatory.
  • Prior exposure to or familiarity with SAP SuccessFactors, electronic signature workflows (such as Adobe Sign), and process-mapping software (such as Lucidchart) is highly beneficial but not mandatory.

Responsibilities

  • Manage the job posting process, including the creation of the job postings and posting them in our regular channels, SAP SuccessFactors, LinkedIn, and niche boards (e.g., CPA, TEI, university platforms) when needed.
  • Systematically evaluate incoming applicant files to assess their qualifications, match for the role, and alignment with Hudbay's core requirements. Establish a clean, initial qualification screening process and present screened candidates to the Talent Attraction Manager for secondary evaluation. Depending on the role, conduct first-round screening interviews (initial conversations) and prepare structured candidate presentations for the hiring manager.
  • Proactively source passive candidates utilizing LinkedIn Recruiter and other talent databases that Hudbay has access to. Additionally, monitor non-integrated niche portals for applications, manually collecting, downloading, and parsing resumes to upload applicant profiles into SuccessFactors to maintain overall data integrity.
  • Assist with the ongoing administration of internal talent pipelines. Help organize and track high-potential internal talent pools to support proactive succession planning and accelerate future internal placements.
  • Independently coordinate, schedule, and manage multi-stage interviews. Seamlessly align calendars across busy corporate executives and candidates across multiple time zones, booking boardrooms and managing virtual meeting setups with extreme professionalism.
  • Build and maintain dedicated folders and structured information reservoirs on shared drives (SharePoint/Network Directories) for active search files, ensuring easy, secure self-service access to candidate profiles, resumes, and interview notes for HR and other key stakeholders.
  • Participate in employer branding initiatives and support the TA team by sharing active employment opportunities, corporate culture highlights, and other talent attraction content across Hudbay's official channels to maximize reach and market visibility.
  • Own the background screening process via Certn. Manage background packages (criminal, education, automated references), request specialized screening packages, and audit completion statuses, keeping the Manager informed of any delays or anomalies.
  • Manage the end-to-end administration of candidate assessment processes. Coordinate psychometric, cognitive, or technical testing with external providers, ensuring candidates receive clear instructions, tracking completion, and distributing results to the hiring team.
  • Responsible for the creation of the offer and the approval routing. Once a final candidate is approved, compile corporate offer package templates, map out signature fields inside Adobe Sign, launch signature sequences across executives and candidates, and track routing status.
  • Create dedicated, standardized requisition folders in the shared network directory or SharePoint upon search kick-off. Gather, rename, and archive all critical candidate documents (resume, references, interview notes, Certn background checks, signed offers) to secure a complete corporate recruitment record.
  • Support the reference checking process for specialized corporate roles. Under guidance, coordinate and schedule telephone references or delegate reference checks to external agency partners as needed.
  • Coordinate the administrative onboarding of new search firms. Prepare, customize, and route brand and role information, Non-Disclosure Agreements (NDAs), etc. and execute Vendor Presentation Forms.
  • Receive and audit external agency invoices. Cross-reference billing amounts against signed fee percentage contracts and verified agreements, verify the data, and format and route them to finance for processing.
  • Regularly update and maintain the internal Preferred Vendor List (PVL) and agency contact records, ensuring active agreement statuses are current and accurately logged.
  • Manage recruitment reporting and key performance indicator (KPI) tracking. Utilize automated reports directly out of SAP SuccessFactors paired with other custom tracking formats to monitor, analyze, and present process efficiency insights.
  • Create, nurture, and actively maintain structured pipelines for "silver medalist" candidates (strong runner-up applicants) and other viable talent discovered in our internal database to accelerate future search timelines.
  • Maintain a precise audit trail of where and when advertisements are published, logging mandatory salary range disclosures and AI compliance logs.
  • Proactively audit the recruiting journey to identify bottleneck areas, proposing, designing, and introducing workflow or tooling improvements to simplify the operational burden on the business.
  • Actively participate in special initiatives related to talent acquisition, talent attraction campaigns, industry networking events, and other ad-hoc corporate projects as requested.
