About The Position

General Purpose: The Recruiting & Professional Development Assistant provides administrative support to the Director, Recruiting Manager, Recruiting & Onboarding Coordinator, and Recruiting Coordinators in the recruiting of all attorneys, summer clerks, and paralegals firm-wide. This role also provides administrative support to the Professional Development Manager, Professional Development Specialist, Professional Development Coordinator, and the CLE Coordinator in the development and implementation of all attorney, summer clerk, patent professional, and paralegal professional development programs, as well as for all special projects, as requested.

Requirements

  • Two (2) years of administrative experience in a professional setting required

  • Ability to organize and prioritize tasks to effectively meet deadlines

Responsibilities

  • Maintains attorney, paralegal, summer clerk, and patent professional personnel files including: Collecting and tracking of Change Requests, ensuring all information is received Processing changes in UKG Providing communication, notifications, and other updates as needed Filing necessary paperwork and creating new hire files Working with the Records Department to move files offsite as needed
  • Maintains up to date information on R&PD and PROCOM Hub pages including lists of attorneys, partners, paralegals, and patent professionals.
  • Processes all check and reimbursement requests as well as AmEx charges by Director, Professional Development Manager, and Recruiting Manager.
  • Assists with recruiting and onboarding processes for lateral candidates including: FloRecruit input of resumes submitted by search firms and other unsolicited, referrals, and non-self-apply resumes Job postings on website, LinkedIn, and other career platforms as directed by team members; tracking of job postings sites and expiration dates Preparation of search agency agreements, FloRecruit access, and tracking of placement fees Travel and lodging arrangements for out-of-town candidates Provide assistance with interview scheduling, FloRecruit input, evaluation requests, and summaries Conflicts clearance preparation and requests Background check requests Scheduling orientation sessions and other onboarding logistics (laptops, materials, I-9 verification) Referral bonus tracking and payment processing
  • Assists with all law student recruiting programs including: Program registrations Resume packet/binder preparation Candidate summary list Materials and swag preparation Travel and lodging arrangements for out-of-town candidates Provide assistance with interview scheduling, viRecruit input, evaluation requests, and summaries Onboarding logistics (laptops, materials, 1-9 verification, etc.)
  • Assists team members as needed with the execution of the summer clerk program including: Logistics related to summer program event planning Scheduling meetings Preparing review packets
  • Assists in gathering data to respond to surveys and prepare statistics/reports
  • Provides assistance to Professional Development Team in coordinating all types of performance review processes – annual, mini-review, real-time feedback, and partnership admission, for associate/of counsel attorneys, paralegals, and patent professionals including: Gathering past evaluation materials Creating individual folders for evaluators Compiling evaluation materials into PDFs Regularly updating the folders and PDFs
  • Assists any other professional development related initiatives, which may include Summer and Fall orientation, attorney training, mentoring program, individualized associate/of counsel attorney professional development plan, and supervisory program including: Scheduling conference rooms Placing lunch orders Tracking RSVPs
  • Perform additional duties and tasks assigned, demonstrating flexibility and a commitment to supporting the firm’s overall objectives.
