Requirements

  • One (1) to two (2) years administrative experience preferred
  • Strong administrative skills which include organization and attention to detail
  • Excellent communication skills both verbal and written
  • Microsoft Office Suite and HR tools/Applicant Tracking System (ATS)
  • Authorization to work in the U.S.
  • Professional office etiquette is expected at all times
  • Strict adherence to KNAPP’s drug-free workplace policy is required. All candidates will be subject to drug-screening in accordance with the policy and will be expected to remain drug-free during their employment. There will be no exception if recreational or medical use of marijuana is permitted in the location of employment and/or residence or if use of marijuana is only during “off-hours.”

Responsibilities

  • Serve as a primary point of contact for candidates after acceptance of the written offer, fostering positive relationships throughout the selection and onboarding process.
  • Partner closely with hiring managers to arrange candidate and new hire travel accommodations for national and international hires, including transportation and lodging logistics, to provide a seamless transition from offer acceptance to employment.
  • Process 100% of high-volume RBS, international, and corporate offer letters and deliver them to candidates within 24–28 hours of the verbal offer.
  • Assist the TA Operations Specialist with internal offer letters as needed.
  • Process background checks and drug tests in accordance with established procedures as needed.
  • Process corporate credit card applications for new hires.
  • Maintain and accurately update the Airtable offer tracker daily to support reliable reporting and visibility into recruitment activity.
  • Own the weekly RBS and corporate headcount summary communication with Payroll, providing accurate headcount and hiring data.
  • Act as a secondary point of contact for TA Partners regarding position logistics, including budget, position approval, and approved rate of pay.
  • Correspond weekly with RBS RPO vendor to review candidate drop-offs and hiring timelines.
  • Partner with the Accounting department on mileage and fuel reimbursements for non-employees.
  • Coordinate cross-functional onboarding activities among Human Resources, Payroll, IT, hiring managers, and new hires to ensure a positive onboarding experience.
  • Support the Applicant Tracking System (ATS), ensuring accurate candidate records and a streamlined recruitment process for external and internal applicants.
  • Support job postings across job boards and other sourcing platforms in the absence of the TA Specialist.
  • Assist the Onboarding team with first-day desk preparations and storage room organization.
  • Support HR hiring initiatives and related projects as business needs arise.
  • Assist with interview coordination with RBS RPO vendor and TA Partners, including reserving rooms, greeting candidates, and providing office tours to ensure a seamless interview experience.
  • Manage the internal RBS applicant audit process.
  • Coordinate referral reward communications with KUS Payroll.
  • Attend relevant training and seminars to remain current on human resources laws, legislation, and trends.
  • Support HR and Talent Acquisition leadership with implementation of recruiting strategies and other duties as assigned.
