About The Position

This position provides administrative, quality control, and secretarial support services to the Records Office. The role involves performing various duties related to maintaining records, processing information, and serving as a liaison with external agencies. The Senior Administrative Assistant – Records will work under the direct supervision of the Records Supervisor, and potentially other managers depending on assignment. The role requires knowledge of relevant department policies and office procedures, and the ability to learn and perform new duties as assigned.

Requirements

  • Ability to use Microsoft 98 or later versions and generate Excel spreadsheets.
  • Ability to type.
  • Excellent organizational skills.
  • Ability to maintain accurate records and files.
  • Outstanding verbal and written communication skills.
  • Knowledge of general office practices and procedures.
  • Flexibility and ability to learn and perform new duties and skills.
  • Working knowledge of the bail process, court process, and sentencing procedures.
  • High school graduate (diploma or GED).
  • Business or secretarial school training OR lengthy prior secretarial experience OR a combination of training and experience.

Responsibilities

  • Prepare and type correspondence, reports, and memoranda.
  • Compile statistical information.
  • Maintain office records and filing systems, including correspondence and attendance records.
  • Research information and use independent judgment regarding its relevance.
  • Notify Criminal Offender Record Information (CORI) petitioners of inmate transfers, furloughs, and movement to minimum security.
  • Perform data entry.
  • Process sex offenders and maintain/disseminate sex offender information as required by law.
  • Serve as Department liaison with SORB.
  • Assist with the collection and processing of DNA information.
  • Conduct CJIS/LEAPS queries, analyze data, and prepare packets for classification, custody assessment, and other parties.
  • Process discharges, bails, purges, and sentence revisions.
  • Provide general administrative and secretarial support.
  • Search for and compile data from office files.
  • Perform other clerical duties as requested.
  • Participate in mandatory training.
