About The Position

This position provides administrative, quality control, and secretarial support services to the Records Office. The role involves preparing correspondence and reports, maintaining records, processing specific legal information, and serving as a liaison with external agencies. The incumbent must be knowledgeable about relevant department policies and procedures, and possess strong organizational and communication skills.

Requirements

  • Ability to use Microsoft 98 (or later version) and generate Excel spreadsheets.
  • Ability to type.
  • Excellent organizational skills and ability to maintain accurate records and files.
  • Outstanding verbal and written communication skills.
  • Knowledge of general office practices and procedures.
  • Flexibility and ability to learn and perform new duties and skills as assigned.
  • Working knowledge of the bail process, court process, and sentencing procedures.
  • High school graduate (diploma or GED).
  • Business or secretarial school training OR lengthy prior secretarial experience OR a combination of training and experience which provides sufficient knowledge, skills and abilities to perform the duties and responsibilities.
  • Regular attendance.
  • Ability to sit or stand periodically for 8 hours.
  • Ability to lift up to 5 pounds.
  • Ability to carry up to 5 pounds.
  • Ability to climb stairs occasionally.
  • Ability to walk short distances.
  • Ability to write and type.

Responsibilities

  • Provide administrative, quality control and/or secretarial support.
  • Prepare and type correspondence, reports, and memoranda.
  • Compile statistical information.
  • Maintain office records and filing systems, including correspondence and attendance records.
  • Research information and exercise independent judgment regarding its relevance.
  • Notify CORI petitioners of inmate transfers, furloughs, and movement to minimum security.
  • Perform data entry.
  • Process sex offenders and maintain/disseminate sex offender information as required by law.
  • Serve as Department liaison with SORB.
  • Assist with the collection and processing of DNA information ensuring compliance with Massachusetts General Laws.
  • Conduct global CJIS/LEAPS queries, analyze data, and prepare packets for submissions.
  • Process discharges, bails, purges, and sentence revisions.
  • Provide general administrative and secretarial support.
  • Search for and compile data from office files.
  • Perform other related and various clerical duties.
  • Become conversant with relevant Department policies and office/division procedures.
  • Ensure data entry is accurate.
  • Ensure documents are filed correctly.
  • Meet all required deadlines.
  • Maintain professional and cordial relations with coworkers, the public, and outside agencies.
  • Properly handle CORI information.
  • Conduct CJIS/LEAPS queries correctly and efficiently.
  • Process discharges, bails, purges, and sentence revisions without mistake.
  • Comply with security procedures.
  • Participate in mandatory training.
