About The Position

The Receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties. Provide administrative support to HR with a variety of clerical activities and related tasks.

Requirements

  • High school diploma or GED required
  • Minimum of (1) one year customer service experience.
  • Excellent phone etiquette.
  • Able to work with minimum supervision.
  • Modern office procedures, methods, and computer equipment.
  • Proficient computer skills and knowledge of relevant software such as MS Office Suite at an intermediate level.
  • Ability to multi-task.
  • Professional appearance.
  • Effective professional written, verbal communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
  • Principles and practices of exceptional customer service.
  • Ability to handle and resolve recurring problems.

  • Professional attitude, enthusiastic, and reliable.
  • Ability to comply with rules, regulations, laws and methods as related to debt collection.

  • U.S. citizenship and security clearance granting access to classified information.
  • Safeguard the computer systems by following proper username and password management which includes selecting challenging passwords and committing them to memory, they should not be written down or stored where others can freely have access.
  • Securing your desk and workstation when you are not there.
  • Locking your session and putting sensitive paperwork away when not physically at your desk.
  • Not to share your username or password with anyone.
  • Never shadow or let someone shadow your entry into a Coast Professional, Inc. facility. If this occurs quickly report this action immediately.
  • Follow all Information Technology policies and procedures regarding the management of your system accounts and equipment.
  • If you witness any security violation you should immediately report it to management.

  • In rare instances, non-U.S. citizens with highly specialized skills and experience may also be considered for the security clearance process.

Responsibilities

  • Professionally administer incoming calls ensuring phone calls are redirected accordingly.
  • Receive and communicate employee call-offs.
  • Greet guests in a professional, friendly, hospitable manner.
  • Will take and retrieve messages for various personnel.
  • Received, sorts and forwards incoming mail.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Monitor and maintain office supply inventory.
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • May also assist with other related clerical duties such as photocopying, scanning, faxing, filing and collating.
  • Maintain and update open project lists.
  • Screen applications.
  • Assist with Recruiting and HR administrative duties.
  • May assist with supervising service providers per our security requirements.
  • Assist in maintaining a safe and secure working environment.
  • Ensure office policies and procedures are being adhered to.
