About The Position

Answers multi-line switchboard and directs calls to the appropriate contact. Operates paging system as required. Takes accurate phone and verbal messages when appropriate and ensures that messages are delivered in a timely manner. Ensures that requests for action or information are relayed to the appropriate staff member. Trains backup receptionists to use the telephone and paging system. Greets executives, customers, suppliers, job applicants and all other visitors entering the front lobby. Keeps visitor log, answers questions and provides information. Directs visitors or contacts the appropriate personnel for visitor escort, following facility security procedures and ensuring excellent customer service. Ensures that reception area is maintained in an orderly manner. Performs clerical and administrative duties including word processing, proofreading and editing documents, correspondence and reports as requested. Maintains current company phone list. Assists employees with questions relating to phone system or voicemail. Coordinates emergency response activities such as locating and contacting members of the First Aid Responders and/or Emergency Response team and making public announcements related to severe weather. Serves as point of contact for county emergency professionals including the Fire Department, Ambulance Services, etc. Assists with processing incoming mail and outgoing mail as needed. May assist with accounting, billing, and/or customer service as needed. Performs miscellaneous duties including acting as liaison with the telephone company to initiate repair activities and to set up new telephone lines. Provides back up for others as needed.
