About The Position

Tom Wood Volkswagen is seeking a friendly, professional, and highly organized Receptionist to serve as the first point of contact for our customers and guests. The Receptionist plays a critical role in creating a welcoming environment while supporting daily dealership operations through exceptional customer service, communication, and administrative support. The ideal candidate enjoys working with people, thrives in a fast-paced environment, and takes pride in delivering a positive customer experience from the moment guests enter the dealership or call our store.

Requirements

High school diploma or equivalent.
Excellent verbal and written communication skills.
Strong attention to detail and organizational abilities.
Proficiency with Microsoft Office and basic computer systems.
Ability to multitask and prioritize in a fast-paced environment.
Professional appearance and demeanor.
Reliable attendance and punctuality.

Nice To Haves

Previous customer service, receptionist, administrative, or hospitality experience preferred.
Previous automotive dealership experience.
Experience working with multi-line phone systems.
Bilingual communication skills are a plus.

Responsibilities

Greet customers, vendors, and visitors in a warm and professional manner.
Create a positive first impression that reflects the Tom Wood commitment to customer service.
Assist guests with directions and connect them with the appropriate department or team member.
Maintain a clean, organized, and welcoming reception area.
Answer and direct incoming phone calls promptly and professionally.
Take accurate messages and ensure timely delivery to the appropriate team members.
Assist customers with basic dealership inquiries and route calls as needed.
Monitor and respond to general customer inquiries.
Provide administrative support to dealership management and various departments.
Process incoming and outgoing mail and deliveries.
Assist with filing, data entry, document scanning, and record maintenance.
Support dealership events and customer communications as needed.
Maintain office supplies and assist with ordering when necessary.
Collaborate with Sales, Service, Parts, and Administrative departments to ensure a seamless customer experience.
Assist with special projects and additional duties as assigned.
Support dealership operations while maintaining professionalism and confidentiality.
