About The Position

The Receptionist oversees the reception area and provides administrative support to the FD&C Department. This role requires maintaining a professional and welcoming environment while engaging positively with callers, visitors, colleagues, and building personnel who interact with the reception area.

Requirements

  • Minimum of one year of office administration experience
  • Energetic individual with a proactive customer-service attitude
  • Demonstrate an ability to work and think independently and possess the ability to interact well with a wide range of people of all levels within and outside the organization
  • Highly motivated, organized and with high attention to detail
  • Ability to multi-task
  • Proficiency with MS Office is required

Responsibilities

  • Respond to incoming calls and general inquiries in a courteous and professional manner, directing calls to the appropriate staff members.
  • Welcome all visitors and promptly notify the appropriate party of their arrival.
  • Ensure staff compliance with badge scanning procedures and coordinate with Security to grant access to employees who have forgotten their badges.
  • Manage outgoing and incoming package requests, including coordinating messenger services and UPS/FEDEX shipments; ensure timely pickup and notify recipients of deliveries for collection from the Mail Room.
  • Maintain the security of all packages and mail until cleared by K9 screening and approved for distribution.
  • Receive and manage deliveries, notifying staff accordingly and accepting items on their behalf when necessary.
  • Oversee mail operations by receiving, sorting, and distributing mail from USPS personnel.
  • Coordinate with building security regarding expected guests and accurately log visitor information in the building’s tracking system.
  • Monitor office security cameras for operational awareness.
  • Provide administrative support to the Senior Manager of FD&C Operations & Administration as needed.
  • Maintain a clean, organized, and professional reception area at all times.
  • Support FD&C team leads with ad hoc projects and initiatives, including commemorative events, special programs, and VIP visits.
  • Assist the Office Workplace Coordinator in ensuring that common areas, including break rooms and printer stations, are adequately stocked.
  • Participates in the Annual 5K Fundraiser and September 11th Commemoration, as assigned.
  • Assists with other special projects and events in support of all 9/11 Memorial and Museum, as assigned.
