About The Position

Covenant Living is seeking a Receptionist for their Continuing Care Retirement Community. This position is responsible for greeting residents, staff, and visitors in person or via telephone in a professional and positive manner. The role involves managing calls, taking messages, monitoring emergency systems, directing visitors, maintaining the reception area, coordinating transportation, assisting residents with programs and payments, operating office equipment, handling mail and packages, processing maintenance requests, completing charge sheets, and supporting other departments with clerical duties. The ideal candidate will have a high school education or equivalent, one year of secretarial training or clerical experience, strong organizational and communication skills, a pleasant demeanor, the ability to remain calm in emergencies, maintain confidentiality, and possess computer knowledge including Microsoft Office Suite. An interest in working with older adults is also desired.

Requirements

  • High school education or equivalent.
  • One year of secretarial training or clerical experience.
  • Highly organized, detail-oriented with excellent interpersonal and communication skills both verbal and written in English.
  • Pleasant personality and telephone voice.
  • Ability to remain calm in an emergency situation.
  • Complete confidentiality when circulating general information.
  • Knowledge of computers including Microsoft Office Suite.
  • Interest in and desire to work with older adults.

Responsibilities

  • Answer all telephone calls quickly in a polite, personal, and friendly manner and transfer calls appropriately.
  • Take messages when the requested individual (resident or staff) is unavailable.
  • Monitor the emergency system, direct staff to emergent situations, call emergency personnel as appropriate, and complete resident checks as needed.
  • Provide information to visitors, direct them to the appropriate individual, and ensure they sign in and wear appropriate badges.
  • Keep the reception desk and lobby clean and organized after each shift.
  • Facilitate transportation requests to appropriate staff, coordinate and communicate transportation timing to residents and staff, and place courtesy calls to residents to remind them of trips.
  • Assist residents in signing up for programs and activities and collect payment.
  • Be knowledgeable about all office equipment, demonstrate its use to other staff, monitor equipment, and report supply needs and issues to the Lead Receptionist.
  • Sell postage stamps, receive and sort mail, log in packages, and inform residents/staff of packages to pick up.
  • Facilitate maintenance requests, input requests into the system, and communicate urgent or emergent situations to appropriate staff.
  • Complete monthly charge sheets according to procedure.
  • Support other departments in clerical duties as assigned by the Administrative Services Coordinator.
  • Support the Lead Receptionist in clerical duties and maintenance of the reception area.
  • Balance the cash register/drawer, including cash receipts and checks cashed for individuals at the desk.
