About The Position
The Receptionist will be responsible for providing exceptional customer service to callers, visitors and employees by greeting and directing callers and visitors in a professional and friendly manner.
Requirements
- High school diploma or equivalent required.
- 2+ years of receptionist experience required.
- Bilingual (English/Spanish) required.
- Strong knowledge of Microsoft Office (Word, Excel, Power Point, Outlook).
- Ability to communicate effectively, both verbally and in writing.
- Exceptional customer service and interpersonal skills.
- Ability to interact with others in a professional and efficient manner.
- Ability to resolve conflicts in a calm and professional manner.
- Professional ability to handle confidential information.
- Ability to multi-task efficiently in a fast-paced environment.
- Must be a self-starter with the ability to work independently with limited supervision.
- Must be able to sit for extended periods of time, up to 8 hours per day.
- Ability to sit, stand, bend, stoop and reach.
- Ability to occasionally lift, move and carry items up to 30 pounds in weight.
Nice To Haves
- Administrative support and/or customer service experience a plus.
- Prior experience using a multi-line telephone system a plus.
Responsibilities
- Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
- Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable.
- Retrieve messages from general voice mail box and forward to appropriate personnel.
- Answer questions about the company and provide callers with address, directions and other information as necessary.
- Greets all visitors courteously, determines nature of business and announces visitors to appropriate personnel.
- Maintain visitor sign in sheet and print and provide visitor badges to all visitors.
- Maintain employee sign in sheets and sign employees in and out throughout the day as they enter and leave the facility.
- Manage and maintain conference room calendar and reserve conference rooms for personnel upon request.
- Create and prepare FedEx and UPS shipments upon request, and track and confirm deliveries as needed.
- Ensure the reception area remains neat and tidy.
- Assist with miscellaneous projects as needed.
- Other duties as assigned.
