About The Position

The Receptionist/Front Desk position is responsible for greeting, registering, and checking out all patients at the registration area. This role involves verifying necessary information, collecting up-front payments, and ensuring a prompt, courteous, and friendly patient experience. The position requires managing patient demographic information, privacy notices, release forms, and other essential documentation. Additionally, the receptionist will handle appointment scheduling, answer incoming calls, distribute faxes, scan and file information into the EMR, and maintain the neatness and orderliness of the waiting room. This role also involves end-of-day duties such as tallying payments, balancing the cash drawer, and running reports. The receptionist may also provide coverage for other employees as needed and perform other duties as assigned by supervisor or management.

Requirements

  • High School graduate or equivalent.
  • One year of related work experience required.
  • Excellent guest service, communication and multi-tasking skills required.
  • Ability to perform under pressure and emergency conditions.
  • Mental and physical flexibility to meet the dynamic demands of the healthcare environment.
  • Decision-making capacity within the parameters of the organization’s policies/procedures and current standards of care.
  • Proficient with MS office suite.
  • Constant interpersonal skills, teamwork, customer service, reading, speaking, writing and understanding English, and problem analysis.
  • Frequent creativity, mentoring, presentations/teaching.
  • Frequent decision making and independent judgment or action.
  • Frequent keyboarding, sitting, standing, hearing and talking.

Nice To Haves

  • CMA preferred.
  • Experience with eClinical Works is a plus.

Responsibilities

  • Greet patients at each visit in a prompt, courteous and friendly manner.
  • Obtain, enter, and review new patient information for completeness, including demographic forms, privacy notices, and release of information.
  • Verify and update patient information at each visit utilizing the Kiosk System.
  • Read and follow all billing alerts.
  • Collect, post, and give receipts for patient payments.
  • Mark patients as arrived.
  • Make return appointments and provide slips.
  • Check patients out in the system.
  • Verify and update employment information, household size, and annual income once a year.
  • Update patient photos.
  • Tally copay received for the daily encounter report.
  • Balance cash drawer, maintaining $100.00 with no overages or shortages.
  • Run end-of-day reports on check scanner and credit card machine.
  • Lock lobby doors and turn off lights.
  • Leave the area neat and clean.
  • Schedule follow-up appointments according to clinic protocols.
  • Answer incoming calls promptly and take messages accurately.
  • Distribute incoming faxes and fax outgoing faxes.
  • Scan and file information into EMR.
  • Monitor waiting room for patient movement.
  • Report problems or irregularities to the clinic manager.
  • Keep the waiting room neat and orderly.
  • Provide coverage in the absence of other employees as needed.
  • Perform other duties or assignments as requested by supervisor or management.
