About The Position

The Reception & Facilities Coordinator is responsible for supporting the day-to-day operation of the Miami Headquarter office by providing a professional reception experience, coordinating workplace services, and supporting facilities, suppliers, and office operations. This role serves as a key point of contact for employees, visitors, suppliers, building management, and internal stakeholders. The position helps ensure the office is welcoming, safe, organized, and operationally effective, while supporting vendor coordination, purchase orders, invoices, supplies, mail, catering, meeting logistics, and employee experience activities. This role supports the Miami Headquarter office and coordinates activities across reception, facilities administration, employee services, supplier coordination, and building-related support. The role has no direct reports and works closely with Facilities, HR, IT, Procurement, Executive Assistants, Finance, building management, and external suppliers.

Requirements

  • Associate degree in Business Administration, Facilities, Hospitality, Office Management or equivalent experience preferred.
  • 3+ years of experience in reception, office administration, workplace services, facilities coordination, hospitality or a related field.
  • Experience coordinating vendors, suppliers, building services, purchase orders, invoices or office expenses preferred.
  • Proficiency with Microsoft Office.
  • Strong customer service mindset with a professional, positive and welcoming communication style.
  • Highly organized, detail-oriented and able to manage multiple priorities in a busy headquarter office environment.
  • Ability to handle confidential information and interact appropriately with employees, executives, visitors and suppliers.
  • Strong follow-up, problem-solving and coordination skills with the ability to work independently and collaboratively.
  • Comfortable working with internal stakeholders and external vendors to resolve day-to-day workplace needs.

Nice To Haves

  • Experience with SAP, procurement tools, invoice systems or badge/access platforms is a plus.

Responsibilities

  • Serve as the primary receptionist and first point of contact for employees, visitors, candidates, suppliers, and contractors.
  • Answer and direct calls, welcome visitors, support visitor registration, and ensure reception procedures are followed.
  • Maintain a professional, organized, confidential, and welcoming front desk and visitor experience.
  • Own the headquarters workspace master plan, including office assignments, workstation allocation, guest offices, temporary seating, and workplace moves.
  • Act as the day-to-day point of contact for office and building-related questions, requests, issues, and follow-ups.
  • Coordinate with building management and service providers to support maintenance, repairs, cleanliness, access, and workplace readiness.
  • Monitor common areas, conference rooms, supply areas, kitchen and coffee stations, and general office conditions to ensure a safe and effective work environment.
  • Coordinate suppliers and external service providers for office operations, maintenance, catering, cleaning, security, printing, and other workplace services.
  • Support vendor onboarding, documentation, certificates of insurance, quotes, purchase requests, and service follow-up in partnership with Procurement and Finance.
  • Maintain organized supplier contact lists, service records, contracts, and building procedures.
  • Create and track purchase requisitions or purchase orders for facilities and office-related expenses, as required.
  • Support invoice processing, cost allocation, P-card or expense documentation, and budget tracking for office services.
  • Coordinate mail, courier services, FedEx or shipping labels, incoming packages, and distribution processes.
  • Support new hire office orientation, office tours, seating coordination, and day-one workplace readiness.
  • Coordinate catering, meeting logistics, office events, and employee activities in partnership with HR, Engagement, Executive Assistants, and business teams.
  • Maintain office supplies, kitchen inventory, conference room materials, and other workplace amenities.
  • Support badge access, visitor controls, security processes, and emergency response activities in alignment with local procedures.
  • Maintain and update office procedures, building communications, contact lists, workplace forms, and facilities documentation.
  • Proactively identify opportunities to improve office services, simplify processes, and create a consistent headquarters workplace experience.
