Requirements

  • High School diploma or equivalent
  • At least two years of office experience supporting multiple staff members
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook)
  • Excellent organizational abilities
  • Ability to work well under pressure
  • Respond to inquiries promptly
  • Maintain confidentiality in handling sensitive information

Nice To Haves

  • Knowledge of behavioral health agency policies and procedures is beneficial.

Responsibilities

  • Answering incoming calls promptly, taking messages, and directing calls to the appropriate staff members.
  • Greeting guests professionally.
  • Tracking office staff locations as needed.
  • Ensuring the office is closed securely when required.
  • Managing office supplies.
  • Preparing outgoing mail and distributing incoming mail.
  • Maintaining office equipment, overseeing repairs and replacements as directed.
  • Keeping the reception area and workspace tidy and organized at all times.
  • Tracking MIKID equipment issued to employees and maintaining accurate logs.
  • Conducting audits and coordinating equipment returns during employee exits in collaboration with Human Resources.
  • Providing support during events and special projects.
  • Printing materials such as flyers and brochures.
  • Assisting in scheduling meetings and coordinating conference calls.
  • Reconciling petty cash.
  • Managing alarm codes.
  • Overseeing the employee name badge process.
  • Handling other duties as assigned, always prioritizing efficient call handling.
