About The Position

The Receptionist & Facilities Coordinator manages the front desk and provide daily administrative support to the facilities team. This role plays a key part in ensuring a welcoming environment for employees and guests, while keeping our facilities running smoothly.

Requirements

  • High School Diploma or GED Required.
  • 2 years of working in a fast-paced, office environment required.
  • Strong communication and interpersonal skills.
  • Detail-oriented with excellent organizational abilities.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Comfortable working independently and collaboratively.

Nice To Haves

  • Prior facilities experience preferred.
  • Familiarity with basic building maintenance preferred.

Responsibilities

  • Serve as the first point of contact by managing the front desk, answering incoming calls, and greeting visitors.
  • Monitor the Envoy calendar to track visitors at both the Headquarters and Tampa Office.
  • Maintain office supply inventory: regularly check stock levels, anticipate needs, and place orders.
  • Assist with outgoing UPS shipments.
  • Support weekly new hire desk setups and workspace coordination.
  • Create employee badges for new hires and existing team members as needed.
  • Send out internal facilities communications.
  • Process and allocate facilities-related invoices.
  • Ensure holiday signage is appropriately displayed throughout the building.
  • Address tenant requests and coordinate solutions for any building-related issues at Integrity Tower (Cincinnati Location).
  • Provide support for events and company-wide initiatives.
  • Assist with special projects and other administrative duties as assigned.
