About The Position

The Receptionist & Client Services Liaison (Liaison) will be the first point of contact for clients as they seek to engage with POTS’ services. The Liaison will assist clients in finding the help that they seek at POTS and in the community. The Liaison will provide a calm and welcoming atmosphere to clients seeking POTS services, answer questions about hours and programs, make appropriate referrals and connections, and assist staff with the client intake process for the pantry, case management, and legal programs. In addition, the Liaison will direct all other visitors to POTS to the appropriate staff member. All work at POTS is carried out in accordance with its core values of Community, Respect, Hospitality, Empowerment, and Justice.

Requirements

  • Spanish language proficiency
  • 1-2 years’ experience as a receptionist or administrative assistant
  • Demonstrated interest in social services through previous volunteer, coursework or work experience
  • Experience with office technology including computers, phone systems, copier, databases, etc.
  • Experience and knowledge of MS Office products
  • Culturally sensitive to people with mental illness
  • Identification with POTS’s mission and values

Nice To Haves

  • Associate’s degree preferred

Responsibilities

  • Provide a courteous and professional presence at the reception desk, answer client questions about programs, obtain and enter intake information into database, communicate with staff about the arrival of clients and visitors, and answer phones in a professional and courteous manner and transfer to the appropriate individual.
  • For clients seeking access to POTS’ programs, assist with screening for eligibility for benefits and services, use database system to check returning clients’ history at POTS, make connections to appropriate staff and service, enter and update data.
  • Assist client service team by promoting cross-functional collaboration among POTS’ staff in support of service delivery, assisting with client follow-up through phone calls and other communication, and improving referrals to and from POTS.
  • Filing, photocopying, scanning, faxing and shredding for clients and staff and other ad hoc administrative tasks.
