About The Position

Airsys is seeking a professional, personable, and highly organized Front Desk Receptionist / Administrative Assistant to serve as the first point of contact at our new U.S. headquarters. This role plays a key part in creating a welcoming, polished experience for customers, partners, and visitors while also supporting cross-functional administrative needs across the organization. This is a full-time, onsite role requiring strong communication skills, attention to detail, and the ability to multitask in a fast-paced, growing environment.

Requirements

  • 2+ years of experience in a receptionist, administrative, or customer-facing role
  • Strong interpersonal and communication skills with a professional demeanor
  • Highly organized with strong attention to detail and multitasking ability
  • Proficient in Microsoft Office (Outlook, Word, Excel, Teams)
  • Ability to work independently and support multiple teams simultaneously
  • Positive, proactive attitude with a customer-service mindset

Nice To Haves

  • Experience in a corporate, manufacturing, or technical environment
  • Exposure to supporting marketing or customer-facing events/visits

Responsibilities

  • Greet and welcome all visitors, customers, and partners in a professional and friendly manner
  • Serve as the “face of Airsys” by delivering a high-quality, brand-aligned first impression
  • Coordinate visitor check-in, badging, and meeting logistics
  • Maintain a clean, organized, and presentable front office and lobby area
  • Support marketing initiatives by assisting with showroom readiness, materials, and customer visits
  • Provide administrative support across departments (HR, Sales, Operations, Finance, etc.) as needed
  • Assist with scheduling meetings, coordinating conference rooms, and managing calendars
  • Keep food/beverages stocked as needed
  • Help manage office supplies, vendor coordination, and general office operations
  • Assist with internal events, meetings, and company functions
  • Answer and route incoming calls and emails appropriately
  • Coordinate internal communications and ensure timely follow-up on requests
  • Serve as a liaison between departments for administrative needs
