YOU We are seeking a reliable and personable Receptionist/Administrative Assistant who will also support the Training and Human Resources Department. This role will provide front desk support while also assisting with a variety of administrative tasks including scheduling meetings, booking conference rooms, coordinating catering, and supporting the HR and Training teams in day-to-day functions.

Requirements

  • Minimum of two years of administrative or office operations support experience.
  • Demonstrates a friendly, professional demeanor when interacting with visitors, employees, and clients. Committed to delivering high‑quality service and building strong relationships that enhance our company values.
  • Skilled in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and able to learn new programs.
  • Demonstrates strong organizational skills to manage priorities and meet deadlines while efficiently handling administrative tasks such as scheduling, data entry, event coordination, and recordkeeping.
  • Strong written and verbal communication skills with the ability to tailor messages to different audiences (customers, employees, leadership). Effectively communicates to clarify needs, resolve issues, and support efficient workflow.
  • Anticipates needs, identifies potential challenges early, and takes ownership in driving solutions with a can-do attitude. Shows initiative by seeking improvements, clarifying expectations, and supporting smooth day‑to‑day operations without constant direction.
  • Maintains dependable, punctual, and consistent performance, taking ownership of outcomes and supporting team success with a positive, solution‑oriented approach.
  • Carefully reviews work for accuracy and completeness. Maintains high standards of quality and consistency across all administrative and customer-facing tasks.

Responsibilities

  • Operates the telephone system by screening and directing calls; greets and directs visitors; manages incoming and outgoing mail; and performs related front‑office duties to support a smooth and efficient workflow.
  • Administration and booking of meeting rooms, catering for region and lodging.
  • Responsible for drafting communications (emails, posters, flyers, etc.) and maintains logs to strengthen overall customer experience.
  • Support with event preparation and post event care.
  • Assist in preparing training materials, packets and administrative tasks as assigned.
  • Other Administrative Duties: Support of department operations, organization to uphold service standards.
