About The Position

The Reception / Intake Specialist is responsible for coordinating office activities, including: answering phone calls, medical records, data entry, maintaining patient records, preparing intake packets, coordinating telephone calls and maintaining sufficient office supplies. They are responsible for managing workflow in Home Care Home Base to support operations of the Agency. This position also requires establishing and maintaining positive relationships with all related entities (internal staff, clinical field employees, contract staff, patients/families, referral sources, etc), responding to staff requests/concerns and maintaining information to assist in the coordination of patient services and staff availability. They are responsible for all aspects of the patient intake process including the insurance verification and authorization processes.

Requirements

  • High school graduate or equivalent.
  • Two years data entry experience.
  • Previous computer experience, preferably in hospice or similar operation.
  • Previous health care related billing experience.
  • Ability to type 50 words per minute
  • Word processing skills
  • Personal computer skills
  • Business machine knowledge

Responsibilities

  • Maintains confidentiality of patient information.
  • Assists the Intake department by supplying staffing solutions to new patient referrals.
  • Maintains accurate up to date medical records in accordance with regulations of Medicare and the Policy and Procedure Manual.
  • Communicates effectively on the telephone with patients, families and staff.
  • Answers incoming calls and forwards to appropriate staff person or takes a message if the person is not available.
  • Welcomes and assists all guests.
  • Assists with incoming, outgoing and interoffice mail.
  • Performs typing, faxing and coping tasks as requested for various staff persons.
  • Inputs data into computer for billing purposes.
  • Maintains accurate records of medical equipment and supplies.
  • Responsible for informing staff of any changes, updates, etc., regarding admissions; discharges, visits, schedules; and clinical meetings as directed by the Program Director, Director of Clinical Services and/or Administrator.
  • Tracks admission, discharge, IDTs, certification and re-certification dates on all patients.
  • Assist with audits of patient information.
