About The Position

Job Duck is seeking a dependable and client-focused Bilingual Intake Specialist to serve as the first point of contact for prospective and existing clients. In this role, you will handle daytime inbound calls, guide callers through the intake process, and ensure each interaction is managed with professionalism and care. You will play a key role in building trust, maintaining accurate records, and supporting smooth daily operations through effective scheduling and communication. This position is ideal for someone who is naturally organized, enjoys helping others, and thrives in a structured, fast paced environment. Your work will directly contribute to client satisfaction and the firm’s continued growth.

Requirements

  • Full time position with a consistent daytime schedule
  • Working hours aligned with Eastern Standard Time
  • Native or fluent Spanish is required
  • Experience supporting administrative or intake workflows
  • Comfortable handling a moderate volume of daily phone calls
  • Ability to work independently while collaborating with a remote team
  • CRM systems including Lawmatics and Clio Manage
  • VoIP systems such as Zoom Phone
  • Microsoft Office Suite

Responsibilities

  • Build and maintain positive relationships with clients
  • Conduct client intake by gathering and documenting accurate information
  • Support general administrative tasks as needed
  • Enter and update client information within CRM systems
  • Schedule appointments and manage calendars efficiently
  • Act as the primary receptionist and first point of contact
  • Answer and manage inbound daytime phone calls
