About The Position

The Quality & Compliance Coordinator plays a critical role in supporting audit readiness, regulatory compliance, and continuous quality improvement across Pennsylvania-based juvenile justice and residential programs. This position assists in monitoring program operations, reviewing documentation, and identifying potential risks to ensure compliance with state regulations, licensing standards, and contractual requirements governing youth serving facilities. Working under the direction of the Quality and Compliance Specialist, the Coordinator helps ensure that the programs maintain high standards of care, documentation integrity, and operational accountability while supporting a culture of continuous improvement.

Requirements

  • Associate or bachelor’s degree in social work, criminal justice, human services, business, or a related field
  • Minimum of two years of experience in quality assurance, compliance, auditing, documentation review, or a related administrative role preferred
  • Experience in juvenile justice, child welfare, behavioral health, residential treatment, or other regulated youth-serving environments strongly preferred
  • Familiarity with Pennsylvania regulatory framework (e.g., PA DHS/OCYFS IL DHS DBHR) is a plus
  • Strong attention to detail and organizational skills
  • Ability to review records and identify missing, incomplete, inconsistent, or noncompliant documentation
  • Ability to follow established procedures, manage multiple tasks, and meet deadlines
  • Ability to identify patterns, trends, and areas of concern and communicate them clearly to supervisors
  • Strong written and verbal communication skills
  • Ability to work independently and accept direction and feedback
  • Proficiency in Microsoft Word, Excel, Outlook, and electronic records systems
  • Ability to manage sensitive and confidential information appropriately
  • Must be at least 21 years of age
  • Must possess a valid driver’s license
  • Ability to travel to program sites as needed
  • Ability to work within residential or secure program environments

Responsibilities

  • Conduct routine internal audits of client records, incident documentation, program files, and other required documentation to assess compliance with agency standards and applicable regulations
  • Review documentation for accuracy, completeness, timeliness, and consistency
  • Monitor adherence to internal policies, procedures, licensing requirements, contractual obligations, and other regulatory standards
  • Assist with preparation for internal and external audits, inspections, licensing reviews, and other compliance-related activities
  • Prepare audit materials for review, including locating records, organizing documentation, scanning files, and completing required audit tools or forms
  • Identify trends, gaps, concerns, or potential compliance risks and escalate findings to the Quality & Compliance Specialist
  • Travel to program sites as needed to conduct on-site audits and monitoring activities
  • Collect, review, organize, and maintain documents related to quality, compliance, and audit activity
  • Track audit findings, corrective action items, deadlines, and follow-up activities
  • Maintain audit logs, monitoring tools, and other compliance tracking systems
  • Obtain and compile data to support routine reporting, trend analysis, and quality improvement efforts
  • Assist with data entry and maintenance in electronic records, spreadsheets, and other reporting tools
  • Participate in data analysis and quality improvement activities designed to strengthen compliance and operational performance
  • Track trends across programs to help identify training needs, recurring documentation issues, and areas requiring additional oversight
  • Flag compliance risks early and provide concise summaries for leadership review
  • Provide clear verbal and written updates to the Quality & Compliance Specialist
  • Prepare concise bi-weekly status summaries for the Director or other designated leadership
  • Maintain confidentiality of client, personnel, and organizational information
  • Communicate professionally and effectively with staff, leadership, and external reviewers as needed
  • Participate in meetings, training activities, and other department initiatives as assigned
  • Demonstrate professionalism, accountability, and adherence to agency policies and standards of conduct
  • Perform other related duties as assigned
