About The Position

We are seeking a Purchasing Coordinator to support our Corporate Purchasing team located in Vernon, BC. The Purchasing Coordinator is responsible for managing the procurement process for Nature’s Fare Markets Warehouse and the DSD Prebook Program. This includes planning, forecasting, and executing purchases to ensure optimal stock levels, cost efficiency, and effective vendor relationships. The role supports overall business objectives by improving buying practices and optimizing warehouse inventory performance. This role may be suitable for someone with experience on the brand or distributor side of the Consumer Packaged Goods (CPG) world looking to transition to retail, or an accountant seeking to utilize their data and analysis skills in a creative way.

  • Experience in vendor management and promotional planning considered a strong asset
  • Critical thinking is a must
  • Excel spreadsheets, sales reports and standardizing processes is your jam
  • Open to new ideas or challenges that may come your way and can easily adapt to shifting priorities and managing multiple priorities

Responsibilities

  • Develop and manage the Prebook Program for seasonal items, in/outs, Food Bank Bundles, and special promotions.
  • Create and manage seasonal calendars and work-back schedules for efficient program execution.
  • Use sales history and forecasts to determine reasonable order quantities and collaborate with Category Managers on adjustments.
  • Expedite and balance order volumes to support warehouse receiving capacity.
  • Ensure adequate replenishment and minimum order quantities are met while leveraging volume deals.
  • Maintain accurate product records in the system post-receipt, including cost and quantity.
  • Provide Accounting with required invoices and warehouse transfer documentation.
  • Cultivate and maintain long-term vendor relationships.
  • Analyze system data to determine ideal order intervals, days on hand, and purchasing efficiencies.
  • Evaluate gross margin performance and cost analysis to support strategic purchasing.
  • Monitor sell-through of seasonal prebooks and propose exit strategies for slow-moving inventory.
  • Support Category Managers in listing and delisting decisions for warehouse inventory.
  • Define and enforce warehouse listing criteria with relevant stakeholders.
  • Ensure flyer items are adequately stocked and appropriately flagged in systems.
  • Coordinate and manage promotional prebooking and ordering (e.g., CHFA Deals, Anniversary Door Crashers).
  • Track and manage warehouse pricing and promotions to maintain accurate gross margins.
  • Collaborate with vendor partners to meet delivery timelines.
