About The Position

This role involves communicating with customs brokers, FDA, USDA, and Drayage to manage import-cargo receiving schedules, handle shipping documents, and process import permits. The Purchasing Agent will update and maintain shipping schedules and item details within the system. This position also includes food-related tasks, such as purchasing new items or food and preparing food for tasting meetings with sales departments. Additionally, the role provides administrative and clerical support to the department, types various documents, researches vendors, and establishes/maintains recordkeeping systems. The Purchasing Agent will also monitor stock levels, identify purchasing needs, research potential vendors, track orders, update databases, conduct market research, evaluate vendor offers, and prepare cost analyses. The job description also notes that management reserves the right to assign or reassign duties as needed.

Requirements

  • Ability to follow verbal and written instructions.
  • Ability to learn purchasing procedures and policies.
  • Ability to type 40 words per minute.
  • Proficient with Microsoft Office Suite or related software.
  • Business level English and writing skill.
  • Mandatory participation during Company Inventory twice a year (June and December).
  • Working experience at Japanese Company.
  • Basic Knowledge of Japanese food ingredients and industry.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Purchasing: 1 year experience.
  • Japanese (Required).

Responsibilities

  • Communicate with customs brokers, FDA, USDA, and Drayage to update import-cargo receiving schedules.

  • Provide administrative and clerical support to the department.
  • Type reports, purchase orders, memoranda, and other documents.
  • Research vendors and collect prices, specifications, and other data related to goods and services.
  • Establish and maintain recordkeeping systems for the purchasing department.
  • Perform other duties as assigned.
  • Clean and organize office shelves when needed.
  • Monitor stock levels and identify purchasing needs.
  • Research potential vendors.
  • Track orders and ensure timely delivery.
  • Update internal databases with order details (dates, vendors, quantities, discounts).
  • Conduct market research to identify pricing trends.
  • Evaluate offers from vendors and negotiate better prices.
  • Prepare cost analysis.
