About The Position

The Provider Coordinator maintains systems essential to daily operations that support patient care. The role schedules and coordinates appointments, procedures, tests, surgeries, and hospital admissions; maintains and communicates department and provider schedules; and provides department support to promote efficient clinical operations and an exceptional patient experience. This position is a 1.0 FTE role with 80 hours per two-week pay period, working 8-hour day shifts Monday through Friday, 8:00 a.m. to 4:30 p.m., with no weekends.

Requirements

• Must be at least 18 years of age and have the education and/or experience needed to meet the required functional competencies listed in the job description.

Nice To Haves

• High school diploma or GED.
• Post-secondary education in a medical field.
• Two to five years of experience in a medical office, including administrative support, scheduling, and customer service.
• Working knowledge of Microsoft Suite and electronic medical records.
• Experience with surgery scheduling and coordination.

Responsibilities

• Schedule and reschedule patient appointments, procedures, diagnostic tests, surgeries, hospital admissions, and related appointments across multiple providers.
• Enter scheduling documentation in the electronic medical record as needed.
• Verify insurance, obtain prior authorizations, and register patients as needed.
• Manage the patient outcome tool, including preparation and distribution, as needed.
• Create, delete, and modify schedule versions and calendars to reflect provider schedule changes as needed.
• Arrange interpreter services for patients as needed.
• Provide department reception and patient check-in as needed; provide telephone coverage and route messages.
• Track insurance verification using multiple systems and maintain the lobby area as needed.
• Ensure patient documentation is complete and manage an insurance or referral work queue as needed.
• Organize and maintain department records, manuals, and patient education materials.
• Participate in patient data reporting requirements and compliance with regulatory standards.
• Create and maintain training materials for new and current employees as needed.
• Assist physicians with reimbursements or expense reports, credentialing, charge capture, and medical records as needed.
• Review patient records to determine whether outside documents are needed; review consent forms and ensure they are updated with the patient.
• Contact sources for outside documents, obtain records, and scan and index them into the electronic medical record.
• Perform other duties as assigned.
