About The Position

Allina Health is a not-for-profit health system serving individuals, families, and communities throughout Minnesota and western Wisconsin. The Provider Coordinator maintains systems essential to daily operations that support patient care. The role schedules and coordinates appointments, procedures, and tests; maintains and communicates department and provider schedules; and provides department support to promote efficient clinical operations and an exceptional patient experience.

This position is 1.0 FTE (80 hours per two-week pay period), working an 8-hour day shift from 8:30 AM to 5:00 PM. No weekends are required. The position is based at 2855 Campus Dr, Plymouth, MN 55441-2649.

Requirements

• Must be at least 18 years of age and have the education and/or experience needed to meet the required functional competencies listed in the job description.

Nice To Haves

• High school diploma or GED.
• Post-secondary education in a medical field.
• Two to five years of experience in a medical office, including administrative support, scheduling, and customer service.
• Working knowledge of Microsoft Suite and electronic medical records.

Responsibilities

• Schedule and reschedule patient appointments, procedures, diagnostic tests, surgeries, hospital admissions, and other related appointments across multiple providers.
• Enter scheduling documentation in the electronic medical record as needed.
• Verify insurance, obtain prior authorizations as needed, and register patients as applicable.
• Manage the patient outcome tool, including its preparation and distribution, as applicable.
• Create, delete, and modify schedule versions and calendars to reflect provider schedule changes as applicable.
• Arrange interpreter services for patients as needed.
• Provide department reception and patient check-in as applicable.
• Cover telephones and route messages appropriately.
• Track insurance verification using multiple systems as applicable.
• Maintain the lobby area as needed.
• Ensure patient documentation is complete and manage an insurance or referral work queue as applicable.
• Organize and maintain department records, manuals, and patient education materials.
• Participate in patient data reporting requirements and comply with regulatory standards.
• Create and maintain training materials for new and current employees as applicable.
• Assist physicians with reimbursements and expense reports, credentialing, charge capture, and medical records as applicable.
• Review patient records to determine whether outside documents are needed.
• Review patient consent forms and ensure they are updated with the patient.
• Contact document sources, obtain records, and scan and index documents into the electronic medical record.
• Perform other duties as assigned.
