About The Position

Aleut Federal is seeking a highly organized and detail-oriented Proposal Coordinator to support the Proposal Center and Growth Team. This role is responsible for formatting, document setup, template management, and rapid-turn capability statement development in support of federal growth initiatives. The coordinator plays a critical operational role in preparing polished, compliant, and visually consistent materials that strengthen Aleut’s professional presentation across proposals and business development efforts. The ideal candidate is responsive, fast-moving, approachable, and meticulous – someone who takes pride in producing clean, accurate, and well-structured documents under tight deadlines.

Requirements

  • Bachelor’s degree or equivalent experience
  • 1–3 years of experience in project coordination, administrative support, proposal support, or document production
  • Advanced proficiency in Microsoft Word (styles, formatting, templates, section breaks, headers/footers, automated tables)
  • Strong attention to detail and document quality
  • Ability to manage multiple deadlines in a fast-paced environment

Nice To Haves

  • Experience supporting federal proposals or government contracting environments
  • Familiarity with SharePoint or collaboration platforms
  • Basic understanding of proposal lifecycle processes
  • Willingness to obtain APMP certification

Responsibilities

  • Format and structure proposal documents in accordance with RFP instructions and brand standards
  • Set up proposal shells, templates, compliance matrices, and standardized response frameworks
  • Set up and maintain SharePoint files
  • Maintain formatting consistency across volumes, resumes, past performance write-ups, and supporting materials
  • Update and maintain master templates and style guides
  • Maintain a centralized repository of current, approved capability statements
  • Support final production efforts including formatting clean-up, table of contents updates, and PDF preparation
  • Prepare graphics placeholders and coordinate layout consistency
  • Conduct detailed formatting and compliance checks prior to submission
  • Assist with upload and submission logistics when required
  • Track proposal schedules and milestone deadlines
  • Support internal review sessions with organized documentation
  • Maintain document naming conventions and file structures
  • Contribute to continuous improvement of workflow efficiency
  • Make use of AI for productivity gains
