About The Position

The Property Specialist is the operational owner of an assigned site of 100 to 200 units within the 5T Management portfolio. This role ensures the property runs at its full potential every day — from occupied households to clean common areas to compliant resident files. You will be hands-on, solving problems early, and managing the site as if it were your own. You are accountable for occupancy, compliance, financial performance, and resident satisfaction, and serve as the primary point of contact between the site and the Portfolio Manager.

Requirements

  • High school diploma or GED required
  • Minimum 3 years of property management experience, including experience with affordable housing programs.
  • Valid Illinois Leasing Agent License, or ability to obtain within 6 months of hire.
  • Fair Housing certification required, or ability to obtain within 6 months of hire.
  • Working knowledge of affordable housing programs including LIHTC, HOME, PRA, NSP, Project-Based Section 8, HUD, CHA, or Market Rate.
  • Proficiency in Yardi or AppFolio property management software.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Valid driver's license and reliable personal vehicle.
  • Strong organizational and written/verbal communication skills.
  • Ability to work independently, manage multiple priorities, and meet deadlines without direct supervision.

Nice To Haves

  • associate's or bachelor's degree in Business, Real Estate, or related field preferred.
  • Certified Occupancy Specialist (COS) or Tax Credit Specialist (TCS) certification.
  • Experience managing mixed-program properties.
  • Bilingual — English/Spanish preferred.

Responsibilities

  • Manage all daily site operations including vendor coordination, maintenance follow-up, and resident communications — consistently and accurately.
  • Conduct regular property and unit inspections; document findings and escalate maintenance needs promptly.
  • Own the full leasing cycle from application intake through move-in, in compliance with applicable program requirements and Fair Housing law.
  • Maintain and manage the site waitlist accurately, with all applicant decisions documented per regulatory requirements.
  • Keep the property in full compliance with applicable programs including LIHTC, HOME, PRA, NSP, Project-Based Section 8, HUD, CHA, and Market Rate requirements.
  • Maintain resident files in audit-ready condition at all times, with accurate documentation of eligibility, income verification, certifications, and lease execution.
  • Coordinate work orders with maintenance staff and vendors to ensure on-time, on-budget completion.
  • Monitor the site operating budget, track expenses against the approved plan, and flag variances to the Portfolio Manager.
  • Manage rent collection proactively, pursue delinquent accounts, and achieve collection targets.
  • Build and sustain strong resident relationships through consistent touchpoints across the full resident lifecycle.
  • Prepare and submit required reports and maintain accurate records in Yardi or AppFolio.
  • Enforce building rules, lease terms, and community standards with consistency and professionalism.
