Responsible for all receipt and distribution of all Center expendable property. This role involves performing duties as the primary Receiver of all supplies and materials for the Center, ensuring vendor invoices are accurate and reconciled with purchase orders. The Property Clerk will also perform administrative and clerical support activities in support of the Property Officer and Maintenance/Logistics Manager, and ensure the cleanliness and orderliness of the Center warehouse. Additionally, the role assists in conducting expendable and non-expendable property inventories, complies with Financial Audit requirements, and issues expendable materials and supplies to Center staff in accordance with established procedure. The Property Clerk monitors Center material supply levels and initiates purchase orders to maintain acceptable inventory levels, assists in preparing periodic supply issuance, inventory, and accountability reports, and ensures the security of the warehouse area. This position also maintains computer-based inventories, ordering, and accountability systems, and ensures the safeguarding of all inventories in the warehouse. Typing various documents, maintaining files of materials received and issued, and assisting the Property Manager/Supervisor in controlling and processing accountable property are also key functions. The role participates in weekly Triangle Meetings involving Finance, Property, and Purchasing to ensure prompt correction of vendor issues. The Property Clerk is expected to produce quality work in a thorough, timely, and accurate manner, maintain appropriate personal attendance, accountability, and work productivity standards, and plan, prioritize, and organize assignments to meet established goals and deadlines. Understanding and applying job knowledge to effectively complete all required job responsibilities and proactively maintaining the required skills are essential. The role also involves mentoring, monitoring, and modeling Career Success Standards, showing respect and courtesy to students, holding them accountable for their actions and behavior, and providing quality services for students. Effective articulation of thoughts and ideas, problem identification, analysis, and evaluation of appropriate solutions are also expected. The Property Clerk will work in partnership with staff from all Departments to ensure effective supervision and services are provided to students and will accept direction and supervision from the Center Director/Center Duty Officer/Shift Manager, including temporary assignments to perform job responsibilities of other departments and positions.
