About The Position

Prometheus, a leading owner of apartments in the San Francisco Bay Area and other regions, is seeking a Property Administrator for its Commercial Real Estate Management Office in Walnut Creek, California. The company, a Certified B Corporation, focuses on long-term real estate investment and enduring quality. This role is crucial for overseeing daily office operations, managing financial transactions for the commercial portfolio, and ensuring a seamless customer experience for tenants, visitors, vendors, and employees. The Property Administrator will be responsible for financial and accounting duties, including managing invoices, coding accounts payable, reviewing accounts receivable, preparing contracts, generating reports, overseeing rent billing, reviewing operating expenses, maintaining insurance policies, and monitoring budgets. Additionally, the role involves office management, updating policies and procedures, and fostering a positive team environment.

Requirements

  • High school diploma or general education degree (GED) required.
  • Minimum of two (2) years in an office administration role.
  • Minimum of one to two years in residential or commercial property management.
  • Minimum of one year of accounts receivable, accounts payable, invoicing, and billing experience.
  • Ability to focus and maintain attention to performance of tasks and to work and complete assignments on time despite frequent stressful, emergency, critical or unusual interruptions.
  • Effective written communication, active listening, and verbal articulation.
  • Microsoft Office proficiency.
  • Strong math and Excel skills.
  • Basic accounting experience is preferred, with the ability to review and understand ledgers.

Responsibilities

  • Oversee daily office operations, acting as the first point of contact for tenants, visitors, vendors, and employees.
  • Provide a seamless customer experience by answering phones, supporting emergency service requests, and welcoming new tenants.
  • Communicate quickly, clearly, and professionally.
  • Oversee office invoices, code accounts payable, and review accounts receivable.
  • Prepare and review contracts.
  • Prepare various financial reports.
  • Oversee accurate rent billing.
  • Review operating expenses.
  • Maintain insurance policies.
  • Monitor budgets for accuracy and variance.
  • Oversee the overall operations, coordination, and organization of the commercial office.
  • Update the department's policies and procedures.
  • Create a fun office team environment.
  • Order supplies and plan team events.
