About The Position

Apex Companies LLC is seeking a highly motivated administrative professional to provide both office administrative support and project support for a variety of departments within our Vancouver, Washington office. The ideal candidate will have demonstrated experience in providing excellent customer service and taking initiative to fulfill a variety of responsibilities. This role acts as the "bridge" between the technical teams and the administrative/financial side of the business.

Requirements

  • Bachelor's Degree and 4+ years of relevant experience.
  • Experience performing GL accounting and financial reporting
  • Highly organized and strong attention to detail
  • Independent thinker/self-motivated
  • High degree of professionalism.
  • Excellent written and verbal communication skills
  • Proficient with MS Office/Excel (PowerPoint is a plus)
  • Familiarity with one or more accounting operating systems.

  • Deltek Vision experience is highly desired.

Responsibilities

  • Prepare and support project-related administrative tasks.
  • Assemble and produce project documents (electronic and hard copies).
  • Sample management - data entry including database management.
  • Organize and maintain field equipment room.
  • Assist in tracking project timelines and deliverables to help ensure on-time completion.
  • Maintain accurate records, files, and project data in internal systems and shared platforms.
  • Familiarity with contracts to review for accuracy, consistency, and formatting.
  • Manage office mail, deliveries, supplies, and kitchen inventory.
  • Maintain cleanliness in shared office spaces and coordinate office maintenance promptly with office manager.
  • Organize, plan, and lead office events to promote comradery and coordinate with other offices for company events.
  • Coordinate with office Green Team regarding office initiatives and creative Green Team opportunities.
  • Support communication to help coordinate activities, equipment, and resources across departments.
  • Identify opportunities to improve administrative processes and project documentation workflows.
