As a Project Support Administrator, you will provide essential administrative and coordination support across multiple projects. You will be responsible for maintaining project documentation, coordinating project activities, preparing meeting minutes, managing purchase order processes, and ensuring project information remains accurate and up to date. This role is ideal for someone who thrives on feeling organised, enjoys working with a variety of stakeholder needs, and takes pride in keeping projects running smoothly behind the scenes.

Requirements

  • Recent experience in a Project Support Officer, Project Administrator, Project Coordinator, or similar role.
  • Demonstrated experience managing purchase orders, invoices, and project financial administration.
  • Strong experience preparing meeting minutes and maintaining action registers.
  • Excellent organisational skills with strong attention to detail.
  • Ability to manage multiple priorities and deadlines within a fast-paced environment.
  • Proficiency across Microsoft Office Suite, particularly Excel, Word, Outlook, and Teams.
  • Strong written and verbal communication skills.

Nice To Haves

  • Experience working within a PMO or corporate project delivery environments will be highly regarded.
  • Experience in engineering, renewable initiatives or construction industry would be advantageous.

Responsibilities

  • Provide day-to-day administrative support to project managers and project teams.
  • Raise, maintain, and track purchase orders, invoices, and project-related financial documentation.
  • Coordinate project meetings, workshops, and stakeholder sessions.
  • Prepare accurate meeting agendas, minutes, action registers, and follow-up communications.
  • Maintain project schedules, documentation, registers, and governance artefacts.
  • Support reporting activities, including status reports and project updates.
  • Assist with onboarding project resources and coordinating project logistics.
  • Ensure project records are maintained in accordance with organisational standards and governance requirements.
  • Liaise with internal and external stakeholders to support project delivery activities.
  • Contribute to continuous improvement of project administration processes and practices.
