About The Position

United Integrated Services (USA) Corp. is seeking a Project Support Administrator to join their team. This role is responsible for implementing and maintaining construction coordination, logistics, shared services, and construction progress procedures for ongoing projects. The Project Support Administrator will provide support to various stakeholders regarding project specifications, safety regulations, and inspection processes. This position offers administrative support to the system/project management team as needed.

Requirements

  • High School Diploma/GED
  • Bachelor’s degree in Business Administration, Construction Management, or a related field
  • 2+ years of administrative support experience (a plus)
  • Construction Industry experience
  • Knowledge of construction methods, shared services processes, quality control standards, and industry practices
  • Familiarity with project management systems, inspection procedures, and regulatory standards
  • Proficiency in Microsoft Office Suite products (Word, PowerPoint, Excel, Outlook, Teams)
  • Strong Excel skills are a must
  • Experience with Document control
  • Ability to learn and master Smartsheet/ACC/Viewpoint etc.
  • Excellent organizational and time management skills
  • Highly detail-oriented
  • Ability to act with integrity, professionalism, and confidentiality
  • Ability to effectively prioritize responsibilities depending on project needs
  • Ability to effectively present information and respond to questions from groups of managers and employees
  • Ability to develop and maintain successful relationships with all levels of employees, clients, and subcontractors
  • Must be able to work under pressure and meet deadlines while maintaining a professional attitude
  • Excellent verbal and written communication skills in English
  • Must have and maintain a valid driver’s license

Nice To Haves

  • Experience or familiarity in Smartsheet is a plus
  • Experience with ACC Autodesk Construction Cloud is a plus
  • Ability to communicate in Mandarin
  • Experience with commercial construction projects, particularly large-scale developments
  • Verbal communication skills in Mandarin

Responsibilities

  • Maintain accurate records of construction permits, work authorization, laydown space requests, crane request/usage tracking, scaffolding requests, and other documents, ensuring all documentation is properly filed and accessible.
  • Schedule and plan meetings and appointments, and create a master schedule for all team members.
  • Take or distribute minutes of meetings, and help prepare Excel, Word, and PowerPoint presentations.
  • Create flow charts or other types of presentations to assist team members.
  • Maintain a daily log of job site occurrences.
  • Assist leaders with invoice and payment control, and all administrative-related tasks.
  • Work with safety teams to ensure compliance with safety protocol and guidelines.
  • Support internal and external quality audits and prepare necessary documentation.
  • Identify areas for improvement in construction management processes and recommend solutions.
  • Create, maintain, manage, and administer Smartsheet.
  • Other responsibilities as assigned.
