About The Position

Provides overall leadership, planning, and management for event and conference support services for NSF OLPA. Serves as the primary point of contact for event coordination with OLPA staff, the COR, venues, vendors, and external partners. Plans and oversees the execution of a wide range of events, including meetings, conferences, symposiums, expos, press events, exhibits, and public outreach activations. Develops and manages event schedules, logistics plans, staffing assignments, and timelines to ensure seamless delivery. Leads venue identification and coordination, including accessibility, security, audiovisual, internet, space configuration, and catering requirements. Oversees exhibit and activation planning, including design coordination, buildout, shipping, storage, deployment, and teardown. Provides expert guidance on event formats, engagement approaches, and audience-appropriate experiences aligned with NSF outreach goals. Manages on-site execution, including setup, breakdown, troubleshooting, and coordination with venue staff and vendors. Supports rapid-turn and high-priority event requests, including same-day or short-notice requirements. Ensures all event materials, signage, and environments comply with NSF branding standards and Section 508 accessibility requirements. Oversees inventory management, procurement documentation, and post-event reporting. Provides regular status updates, risk identification, and post-event assessments to the COR and OLPA leadership.

Requirements

  • Minimum 8 years of professional experience planning and managing events, conferences, or large-scale outreach activities.
  • At least 5 years of experience leading complex, high-visibility events with multiple stakeholders and vendors.
  • Demonstrated experience managing logistics such as venue coordination, shipping, exhibits, audiovisual services, and on-site operations.
  • Experience managing multiple concurrent events and quick-turnaround requirements.
  • Familiarity with federal event environments, accessibility standards, and branding compliance.
  • Proven ability to lead on-site teams and resolve real-time operational issues.

  • Experience supporting national-level conferences, expos, or public-sector outreach events preferred.
