About The Position

This position reports directly to the Director of Advancement and is responsible for special projects, maintaining and updating procedure manuals, data management and overall operational support. This position will manage and evaluate advancement workflow and efficiency of operations for the unit. Represents the unit to internal and external stakeholders to ensure success of advancement efforts. In conjunction with the Advancement Director leads special projects, implements and takes on special tasks as assigned. Full position description is available upon request.

Requirements

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Experience managing multiple projects simultaneously, including planning, tracking progress, and meeting deadlines.
  • Knowledge of project management principles and practices.
  • Strong verbal and written communication skills.
  • Ability to manage competing priorities and work independently.
  • Experience developing and improving business processes and procedures.
  • Proficiency with Microsoft Office applications (Excel, Word, Outlook, PowerPoint).
  • Basic knowledge of budgeting and resource management.

Nice To Haves

  • Experience in higher education, advancement, philanthropy, or nonprofit organizations.
  • Familiarity with CASE, VSE, and gift reporting standards.
  • Experience with Raiser’s Edge NXT, Financial Edge, or similar enterprise systems.
  • Knowledge of donor databases, scholarship management systems, or related financial platforms.
  • Familiarity with nonprofit financial operations and regulatory compliance, including IRS Form 990 and 501(c)(3) requirements.
  • Project management certification (e.g., PMP or CAPM).

Responsibilities

  • Creates a project plan, monitors progress and performance against the project plan, and identifies, resolves, or escalates risks and issues
  • Sets priorities, allocates tasks, and collaborates with project staff to meet project targets and milestones
  • Manages the activities of outside contractors to ensure they are integrated into the project and that the organization receives satisfactory standards of service
  • Facilitates the estimation of project costs, resources, and time required to complete the assigned phase of a project and monitors activities, negotiates for resources, and assigns tasks to ensure these targets are met.
  • Follows established change control processes if targets can no longer be met
  • Prepares regular reports to communicate the status of the project within and beyond the project team
