Crofton is seeking a Project Manager Administrator (PMA) to join our team. The PMA plays a crucial role in supporting project managers and project teams by handling various administrative tasks. The ideal PMA will be highly organized and meticulous with the ability to excel in a fast-paced work environment.

Minimum of 3 years of experience in this or related position.

Nice To Haves

Experience using Bluebeam, HCSS, or Sage is desired.

Responsibilities

Maintain project documentation, including project plans, schedules, and status reports.
Ensure all project documentation is organized, up to date, and easily accessible for the team.
Facilitate communication between project team members, stakeholders, and clients.
Distribute project-related information, updates, and announcements to the relevant parties.
Help schedule/coordinate meetings, including sending out invitations and preparing agendas.
Enter project-related data into project management software or databases.
Maintain and update project tracking systems to monitor progress and performance indicators.
Assist in monitoring project budgets and expenses.
Process invoices and expense reports and ensure they are submitted and approved in a timely manner.
Help in coordinating resources, such as personnel, equipment, and materials, to support project needs.
Assist with scheduling and resource allocation to ensure that projects are adequately staffed and resourced.
Assist in identifying and tracking project risks and issues.
Support the development of risk mitigation plans and monitor their progress.
Generate regular reports on project status, budget, and other relevant metrics.
Prepare presentations and reports for project stakeholders and management.
Ensure that project deliverables meet quality standards and are following project requirements.
Assist in the development and implementation of quality control processes.
Maintain a repository of best practices and lessons learned from previous projects.
Use this knowledge to improve project management processes and outcomes.
Provide general administrative support to project managers, such as scheduling, travel arrangements, and document formatting.
Help with the coordination of project team meetings, workshops, and training sessions.
Identify opportunities to improve project management processes and suggest enhancements to increase efficiency and effectiveness.
Performs other related duties as assigned.
