About The Position

This position is ONLY OPEN TO CURRENT FULL-TIME ANNUALLY PAID PARKS EMPLOYEES. Under general direction, with latitude for independent initiative and judgment, perform administrative work for Manhattan Operations. This role involves providing technical and administrative support to borough managers and supervisors, preparing and tracking reports, producing division communications, and serving as a liaison to other divisions and external agencies. The coordinator will also work closely with Information Technology & Telecommunications (ITT) on technology-related matters, assist with wireless phone issues, maintain emergency preparedness documents, coordinate fleet and equipment movement, and prepare various fleet-related reports and evaluations. A key aspect of the role is maintaining and updating databases such as FleetFocus (M5), FastFleet, Zipcar, EJWard (CANceiver), E-ZPass, and ChargePoint, and interpreting findings to solve complex fleet problems. The position requires excellent customer service skills and the ability to coordinate issue resolutions.

Requirements

  • A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  • High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  • Education and/or experience which is equivalent to '1' or '2' above.
  • All candidates must have at least one year of experience as described in '1' above.

  • Experience with AMPS, BTS, FleetFocus (M5), FastFleet, Zipcar, EJWard (CANceiver), E-ZPass, and ChargePoint.
  • Experience in fleet management and coordination.
  • Experience in preparing reports, charts, and graphs.

Responsibilities

  • Perform administrative work for Manhattan Operations under general direction.
  • Provide technical and administrative support to borough managers and supervisors.
  • Administer AMPS, BTS, and other databases and systems.
  • Prepare and track weekly, monthly, and annual reports.
  • Produce division communications, including correspondence, memos, project scopes, summaries, and status updates.
  • Disseminate information to borough personnel and liaise with the agency communications team.
  • Provide outstanding customer service in-person, via email, and on the phone.
  • Coordinate resolutions to immediate issues with borough managers and supervisors.
  • Serve as a liaison to other divisions within Parks and represent the Agency at meetings with other city agencies and organizations.
  • Coordinate with Information Technology & Telecommunications (ITT) on permissions, orders, repairs, and rollouts of new technologies and infrastructure.
  • Assist with wireless phone issues, troubleshoot problems, and advise users.
  • Maintain and update Borough Emergency Preparedness documents.
  • Coordinate Borough fleet and small equipment movement with Park Managers and Fleet Operations.
  • Prepare charts, graphs, and reports on fleet metrics, small equipment, and vehicles.
  • Help maintain databases within applications such as FleetFocus (M5), FastFleet, Zipcar, EJWard (CANceiver), E-ZPass, and ChargePoint.
  • Maintain records including driver agreements and communicate with sub-account administrators.
  • Serve as a liaison with Zipcar.
  • Provide interpretation of findings to aid in solving complex fleet problems.
  • Prepare documents, process requests, and maintain records.
  • Update the database and generate usage reports.
  • Prepare evaluations of current processes and procedures.
  • Provide technical assistance and training to staff in techniques of searching M5 & FleetFocus.
  • Collect and review collision reports and other fleet-related reports and information.
