Support of Facilities Management and Development Department.

Requirements

  • 5 Years related experience in construction, facilities, project coordination, contract administration, and/or project management.
  • Driver's License - CA Department of Motor Vehicles -REQUIRED
  • Associate's degree in Business Administration, Construction Management, Accounting, or other related field; or 2 years of relevant experience can substitute for degree.
  • Utilizes reliable transportation and possesses adequate personal insurance coverage.
  • Demonstrates clean driving record in accordance with requirements of the employer DMV pull notice program and Sharp HealthCare Driver Guidelines.
  • Knowledge of contract law, design process, construction documents, cost estimating, building codes, project development and project management.
  • Ability to read blueprints and interpret specifications.
  • Must demonstrate excellent organization and decision-making skills.
  • Establishes priorities and follow through on projects, paying close attention to detail with minimal supervision.
  • Effective interpersonal skills, ability to interact effectively with various personalities within the Sharp HealthCare system.
  • Must be able to develop a means to keep others informed of progress on project and items that need a decision.
  • Effective and concise written communication skills.

Nice To Haves

  • Experience in a healthcare setting.
  • Experience with contracts, design process, leasing, purchasing and procurement, construction process, construction documents, cost estimating, building codes, project development, and project management.
  • Experience in Commercial Real Estate

Responsibilities

  • Maintaining orderly project records and handling electronic document filing.
  • Data entry, blueprint reproduction, preparing documents for electronic signature, maintaining vendor database, and distributing on-site mail.
  • Assuring that communication between all Project Team members is timely and complete.
  • Maintaining a positive relationship with all stakeholders; respond to internal and external customer in a timely manner and follow up to assure that customer needs are met.
  • Timely processing of invoices, including confirmation of available budget and notification if insufficient budget remains to cover invoice.
  • Submission and routing of purchase orders, contracts, change orders, and correspondence to Project Manager(s) for approval.
  • Coordination, logging, uploading, distribution, and archiving of all project documentation (ie, RFP’s, Permits, contracts, leases, submittal items, safety and daily reports, RFI’s, ASI’s, CORs, Closeout, etc.).
  • Distributing and filing executed agreements, addenda, plan revisions, notices of award or non-award, and ensuring proper transmittals for project documentation.
  • Processing, collection, maintenance, and logging of insurance certificates, preliminary liens, and lien releases.
  • Create and maintain a complete project directory, including names, addresses, phone numbers, emails, and area of responsibility for all parties involved in the project.
