About The Position

Project Coordinators are essential in keeping federal programs on track. They are responsible for developing and maintaining project schedules, tracking action items and deliverables, preparing for meetings and briefings where key decisions are made, and ensuring all tasks are completed. This role provides close support to program and project managers, working alongside executives and subject-matter experts. Project Coordinators translate discussions into actionable agendas, meeting notes, status reports, and presentation decks, proactively identifying and managing risks, issues, and dependencies to prevent them from escalating into problems. This position offers a unique opportunity to quickly learn the intricacies of program operations and their underlying missions.

Requirements

  • A foundation in project coordination, program support, consulting, or comparable professional work.
  • Strong organizational and people skills.
  • Discipline to follow work through to completion.
  • Sound thinking and clear writing abilities.
  • Ability to build a presentation deck that a senior reader can act on.
  • Proficiency in Excel, PowerPoint, and Word.
  • Proficiency in collaboration tools such as SharePoint and Microsoft Teams.

Nice To Haves

  • Familiarity with project management methods or scheduling tools such as Microsoft Project.
  • Progress toward the Certified Associate in Project Management (CAPM) credential.

Responsibilities

  • Build and maintain program schedules, action-item logs, and deliverable trackers that are reliable and coordinated with contract deliverables, reviews, and briefings to ensure timely and complete work.
  • Prepare agendas, read-ahead materials, meeting notes, and follow-up actions to facilitate effective meetings and briefings, ensuring decisions are implemented.
  • Create status reports and presentation decks that clearly communicate complex discussions for senior leadership.
  • Develop risk, issue, and dependency logs that highlight potential problems early and propose solutions.
  • Organize project records in systems like SharePoint or other program-specific tools to ensure easy access to decisions and their rationale.
